What you can do
Hold the stock for the intended request
A reservation links a quantity to a stock request, item and storage location. It can also point to a lot when the item is lot tracked. Its state distinguishes an Active hold from one that is Released or Consumed, and its expiry date gives the team a time boundary for checking the claim. Inventory Coordinator uses this connection to keep a requested issue from becoming an unexplained reduction in available stock.
Imagine a customer site asking to use a consigned item next week. The coordinator opens the approved request, checks the item, location and released lot, and records a held quantity. The team can see the active claim before recording physical use. If the request is cancelled or the need changes, the state can show that the hold was released while preserving the request link.
How the work is organized
- Claim. The reservation quantity identifies what has been set aside for a specific request.
- Identity. Item, location and optional lot show exactly which consigned stock the hold concerns.
- State. Active, Released and Consumed distinguish current exposure from finished claims.
What to agree during setup
Agree who is allowed to create and release a hold, what date should be entered as its expiry, and how a team member checks free quantity before making it Active. The Operations Overview provides available and on-hand stock context; the reservation record provides the specific claim. For a lot-tracked item, agree that the lot’s release state and expiry date are checked before the claim is used.
Decide how the team handles multiple requests for the same item and site. A claim should point to the intended request rather than live only in a note or a spreadsheet. Also decide when a consumed reservation is marked after confirmed physical issue, and who reconciles a hold left Active past its expiry date.
Check the handoff on an actual case
Take a request for a named item at a named location and reserve a quantity against a released lot. Confirm the reservation shows the same item and location as the request and that its expiry date is sensible for the planned use. Inspect the active reservations for the item before preparing a second request. If the first request is withdrawn, release its claim and verify it no longer appears among active holds.
For physical use, compare the reservation quantity with the recorded consumed units and posted movement. The figures may differ for a partial issue, so retain the link and explain the remaining active or released balance through the operating procedure. Inventory Reviewer can follow the claim to the request and its review decision.
