What you can do

Follow what happened to the stock

Stock Movements record a signed quantity, item, location and optional lot against a parent request. The posting flag and occurrence date distinguish a recorded movement from proposed work. Each movement also has a line number and revision. A correction can refer to the movement it reverses, preserving the original transaction in the history. That trail helps the team explain a changed balance without quietly editing an earlier entry.

Stock Reservations represent a claim against an item at a location, with an optional lot and expiry date. The state shows whether the claim is Active, Released or Consumed. Inventory Coordinator and Inventory Reviewer need to compare those claims with the intended stock action. The item and lot context matters: a reservation for one lot should not be treated as a general promise across every lot of that item.

How the work is organized

  • Movement. Signed quantity and posting state describe the recorded change at a location.
  • Reservation. Quantity, state and expiry describe the claim against a particular item and place.
  • Correction. A later movement can point to the movement it reverses, retaining both sides of the explanation.

What to agree during setup

Agree which unit the team uses for each item and how signed quantities represent inward and outward stock. Decide what evidence must accompany a reservation and how its expiry is handled in daily review. Specify when a claim is released or consumed, and how the reviewer checks that the requested quantity is eligible. The location and lot references should be checked against the request, not assumed from a matching item code.

For a pilot, choose one released lot at a location and create a request for a defined quantity. Review the active reservation and the later movement separately. Ask the team to explain what the signed quantity means and why a reservation is still active or has become consumed. Then rehearse a correction and confirm the correcting movement points to the original.

Check the handoff on an actual case

A location holds an item in two lots. A coordinator requests a reservation for one lot, and the reviewer considers the exact item, lot and quantity. The reservation record links back to the request and identifies its current state. When stock is moved, the movement carries the item and location and can carry the lot. If an error is found after posting, the team keeps the original movement, records a compensating movement and follows the reversal link during reconciliation.

What your team sees

  • Active reservations — Current claims with quantity, item, lot, location and expiry.
  • Released lots — Lot identity and expiry for stock marked Released.
  • Stock request board — The request status and owner behind each operating action.

Follow the work through

Use reservation review for a claim and movement reconciliation for a posted effect or correction.
