What you can do
Make the assignment operational
Load assignments ties a load to a driver, vehicle, start and end time. Its status moves from Held to Confirmed, Dispatched and Completed as the work advances. The interval matters because the same driver or vehicle should not be treated as freely available for overlapping movements. Dispatcher uses the load promise and route plan to choose an interval that covers the intended trip.
How the work is organized
- Driver eligibility. Drivers carry an active flag, eligibility date and external authority reference. Dispatcher should inspect those before confirming an interval.
- Vehicle readiness. Vehicles carry capacity, equipment class, active state and Ready, Held or Maintenance readiness.
- A bounded hold. An assignment records a start and end so dispatch can compare commitments on a schedule.
Vehicle defects holds reported defects, severity, repair evidence and release time for a vehicle. App Administrator maintains fleet and driver records; Dispatcher checks them when preparing a particular load. A vehicle shown as Ready still needs the right equipment class and capacity for the load. The route proposal’s capacity units can help the team discuss the load, while the vehicle record uses pounds, so agree how those values are compared locally.
What to agree during setup
Define the source and refresh practice for driver authority and fleet identity. Agree who changes a vehicle from Held or Maintenance to Ready and what repair evidence is needed after a defect. Set time zone conventions for assignment intervals, especially if drivers cross organization or dispatch boundaries. Decide what makes a Held assignment eligible for confirmation and who cancels a hold that is no longer needed.
Review permissions before going live. Dispatcher needs enough access to prepare the load and see partner, driver and vehicle readiness. App Administrator maintains master records. Transport Supervisor needs the assignment interval and route review context to check whether the dispatch decision is credible.
Check the handoff on an actual case
A load needs refrigerated equipment and delivery by Friday morning. Dispatcher identifies a ready vehicle of the right class and a driver whose eligibility extends through the trip. They hold an interval, review the route decision and confirm the assignment. If the vehicle enters Maintenance before departure, the team changes the assignment and records the new choice before dispatch. After delivery, the assignment reaches Completed. The previous hold and any cancellation remain useful for understanding why the original plan changed.
