What you can do
Keep the visit state and responsibility visible
Clinical Coordinator records the scheduled encounter with its patient, clinician and visit type. The scheduled date helps the team prepare for the visit. Arrival, care in progress and completion remain separate states, giving the coordinator a practical view of what has happened without opening the patient’s clinical documentation.
Admission checks more than arrival. The action verifies the patient’s relevant consent, the treating clinician’s current professional privilege and active care-team coverage. Once admission is authorized, the encounter records its start. Licensed Clinician then performs the documentation work under the clinician’s own authority.
How the work is organized
- Scheduled context. The encounter identifies the patient and treating clinician for this visit. Clinical Coordinator checks that these references remain correct as the appointment approaches and records the visit type in wording the clinic understands.
- Admission checks. Arrival can lead to care in progress only after the required consent and professional authority checks succeed. A scheduled visit by itself does not establish access to clinical records or permission to sign them.
- Recorded completion. The encounter retains its start and end dates alongside the status. Required documentation and review must be resolved before the eligible completion action proceeds; an operational status change cannot supply a missing clinical signature.
What to agree during setup
Agree the clinic’s visit-type vocabulary and the meaning of each recorded event date. Distinguish the scheduled date from the actual start and end of care. Decide how the coordinator will identify an encounter waiting for review and whom to contact when the treating clinician’s authority needs attention.
Keep clinical content out of scheduling views used by Clinical Coordinator. The team can use patient and clinician identifiers to coordinate the visit while Licensed Clinician and Clinical Reviewer use their authorized evidence views. Agree how a cancellation is recorded and how any linked clinical or billing work is handled through its own authorized process. Do not use cancellation as a shortcut for deleting the visit history.
Check the handoff on an actual case
Rehearse a scheduled skincare visit for a returning patient. Clinical Coordinator confirms arrival and requests admission. Check that the patient, clinician and care-team assignment resolve to the intended records before care begins and the encounter records its start.
Repeat with a clinician whose required privilege has expired. The admission request must not begin clinical work under that authority. For the valid case, have Licensed Clinician prepare the clinical evidence and complete the required signing and review. Then record encounter completion and inspect the end date. Ask the coordinator to explain the visit’s progress from the schedule and board while confirming that the same identity cannot open the clinical note or treatment photographs.
