What you can do

Connect the patient record with the reason for access

Clinical Coordinator maintains the patient’s identity and consent administration so the clinic can recognize the person attending an encounter. The patient number, display name and assigned clinician provide the starting context. Purpose-specific consent records retain the purpose, version, signature date and expiry information needed for the relevant action.

Clinical Governance Administrator maintains the professional privileges and care-team assignments that support authorized access. An assignment identifies the patient, clinician, access purpose and effective period. A privilege identifies the professional authority and its verification evidence. The clinical action checks these records together before treating a staff role or patient assignment as sufficient authority.

How the work is organized

  • Patient identity. Clinical Coordinator keeps the identifying details consistent across scheduling and consent work. The assigned clinician helps the team find the intended treating person, while an encounter retains its own patient and clinician references.
  • Consent for the purpose. The consent record explains what the patient has signed and which version applies. Signed, Withdrawn and Expired states remain distinguishable so the team checks the relevant consent when it acts.
  • Professional and care-team scope. Clinical Governance Administrator verifies license evidence and maintains effective access assignments. Licensed Clinician and Clinical Reviewer act only within the patient scope and professional authority relevant to the work.

What to agree during setup

Agree the patient identification process and the purpose wording used for each consent. Define how staff will identify the applicable signed version, review expiry and respond when consent changes. Photographic evidence requires its own relevant consent checks before an image submission proceeds.

Decide who performs authorized governance review of professional evidence and how effective dates are maintained. Keep scheduling access separate from clinical content access. Clinical Coordinator can coordinate the visit without reading clinical notes or specialty results. Clinical Governance Administrator needs the identity projection for access administration without receiving broad clinical or billing access. Rehearse these boundaries with the actual people who will use the clinic workspace.

Check the handoff on an actual case

Use a returning patient’s scheduled skincare encounter. Clinical Coordinator confirms the patient number and the signed consent relevant to the planned operational action. Clinical Governance Administrator checks that the treating clinician’s required privilege is Verified and that the care-team assignment covers the patient and purpose at the event time.

Then repeat the authorization check with an expired assignment and with withdrawn photographic consent. The relevant action must stop until its authority is resolved. Ask Clinical Reviewer to inspect a permitted case and attempt the same access for an unassigned patient. Finish by confirming that the coordinator can still perform scheduling work without seeing the clinical assessment or photographs. The team should be able to explain both the permitted action and the reason for a refused one.
