What you can do
Make the response understandable to the assigned person
A maintenance task describes the work required at a site and identifies the person responsible. Facilities Manager coordinates the task and due date so Maintenance Technician can understand where to go and what needs to be done. The assigned-person link also supports a personal queue for the operating account carrying that responsibility.
Tasks move from open work through approval and work in progress to completion. Agree how the approval and completion practice works before the first operating cycle. The completion date records when the work was finished, while the separate operating-event record retains the condition’s acknowledgment and resolution history.
How the work is organized
- Assignment. The event-acknowledgment process assigns site work to an active responder. Facilities Manager checks the task wording, site and due date so the person receiving it can recognize the intended response.
- Progress. Maintenance Technician follows the agreed task policy from approved work into execution. The operating queue keeps the current state visible to Facilities Manager and Site Operator.
- Completion. The technician records completion according to the agreed authority and retains the completion date. Facilities Manager reviews the site response and makes the separate event-resolution decision where needed.
What to agree during setup
Define how a person is considered active and confirm their platform-user mapping. The assignment should resolve to the account that will actually carry out the work. Agree the fields required in a useful task description and how the team chooses a due date appropriate to the site condition.
Name the person who approves work and decide who may record completion. Configure those transitions through the agreed task process, including restrictions on editing another person’s work. Keep the handoff to event resolution explicit so a task reaching Completed is not mistaken for proof that every operating condition at the site has been resolved.
Check the handoff on an actual case
Use the response to the east-lobby ventilation event. Facilities Manager assigns a task with the intended site and a description that identifies the inspection or work required. Confirm that the selected responder meets the active-person rule and maps to the Maintenance Technician’s account.
Open My Maintenance Tasks as that technician. Check the site, task wording and due date before advancing the work through the agreed approval and execution practice. Record completion and confirm the retained date. Facilities Manager should then review the work alongside the open site condition and decide whether the event can be resolved.
Repeat the access check with another technician’s account and verify the intended boundary for assigned work. Also inspect a completed task after the associated operating review has finished. The task history should remain understandable even though its completion and the event’s end are separate facts recorded for different purposes.
What your team sees
- My Maintenance Tasks — Site work assigned to the signed-in person’s identity, with due and completion dates.
- Active Maintenance Tasks — Open, approved and in-progress work requiring coordination.
- Open Operating Events — The site’s current conditions for the operating review.
Follow the work through
Rehearse Assigned work to completion, then return to Event acknowledgment to resolution for the separate condition review.
