What you can do
Give the operating work a named owner
Activities describe assigned work under a welfare program. The activity name, owner and due date help Program Manager decide what needs attention. Planned, Approved, In Progress and Completed distinguish the recorded work state, while the completion date gives the team a concrete point to inspect when reviewing progress.
Milestones describe the program’s significant checkpoints. Each milestone has a name, due date, completion date and evidence attachment under its program. Keeping the checkpoint’s evidence beside its completion date lets the team explain why it is ready to be treated as complete during the program review.
How the work is organized
- Assigned activity. Link the work to the intended program and staff member. Use an activity name that tells the owner what needs to happen before the next operating handoff.
- Milestone evidence. Agree what the checkpoint demonstrates and retain the supporting attachment when it completes. The completion date should describe the actual event being evidenced.
- Due-work review. Compare due dates with completion dates and the activity’s current state. A due-date list can include already completed work, so read the completion context before escalating an item.
What to agree during setup
Choose the standard kickoff work created when funding is approved. Program Manager should agree the names and owners before the first activation so a repeated trigger can recognize existing work consistently. Keep each program’s intended kickoff work distinguishable even when several programs use similar standard names.
Define how the team updates an activity through its operating states and who records the completion date. For milestones, decide which document or other evidence supports the checkpoint. Agree how a delayed activity affects the next milestone and how the owner explains the revised plan during the regular program review. The evidence should help the next person understand the handoff without a separate verbal briefing.
Check the handoff on an actual case
Use a newly activated assistance program with its standard kickoff activity and milestone. Program Manager confirms the activity owner and due date. Have that person describe the work, record its progress through the agreed states and supply the completion date when the task is finished.
Attach the milestone evidence and ask Monitoring Officer to explain what the checkpoint establishes. Repeat the review with a milestone whose due date has passed but whose completion date is already present. It should be recognized as completed work in the due-date list. Finally, inspect an overdue activity still in progress and agree the next action with its named owner before closing the program review.
What your team sees
- My Activities — Work assigned to the signed-in person’s staff identity, with due and completion context.
- Milestones Due — Checkpoints whose due date has arrived, including their completion evidence.
- Active Programs — The current operating programs behind the assigned work.
Follow the work through
Begin with funding approval and program kickoff. Carry the supporting evidence into expense verification and outcome reporting and the program completion review.
