What you can do
Put an accountable program behind the award
Program Manager establishes the welfare program’s name, owner, operating dates and budget. This gives the funding discussion a defined piece of work to support. The program moves through Planned, Approved, Active, Completed and Closed as the team applies its agreed operating handoffs and reviews the evidence of progress.
A funding award identifies the funder, award amount, date and restrictions under the program. Funding Reviewer checks that context before approving the award. The approval triggers validation of the linked program and award amount, activates the program and creates the standard kickoff activities and milestones. Program Manager then checks that the work is assigned and understandable.
How the work is organized
- Program plan. Keep the responsible owner and operating dates visible with the budget. Resolve the owner’s staff identity before assigning activities so the next handoff reaches an accountable person.
- Funding decision. Review the award amount and written restrictions against the intended program. Record approval only after the responsible reviewer has considered that scope.
- Kickoff work. The funded-activity action creates standard activities and milestones using their agreed names. Repeated processing recognizes those names so the team can inspect the existing kickoff work.
What to agree during setup
Agree the monetary convention used for budgets and award amounts before comparing funding across programs. Decide who maintains an award’s restrictions when the funder clarifies the permitted use. Those restrictions should be readable to the people planning program work and preparing expenses.
Choose the standard kickoff activity and milestone names with Program Manager. The names need to identify useful work, and the team should agree who owns it and what completion evidence belongs with it. Confirm how the activation action assigns the required activity owner. Also define the operating review that allows a program to move toward completion and closure after its funded work has been examined.
Check the handoff on an actual case
Rehearse a community assistance program with an award intended to fund its launch. Program Manager checks the owner, dates and budget. Funding Reviewer inspects the linked program, amount and restrictions and approves the award through the agreed action.
Inspect the Active program and the resulting kickoff work. Ask the assigned person to explain the activity and the milestone evidence they will supply. Repeat the same approval-triggered processing and check that the intended standard work has not been created again under the same program. Then inspect a different program using similar kickoff names so the team can distinguish each program’s own work.
