What you can do

Make the method reference usable during lab work

A controlled document records a title, version and effective date with its attached document. Document Coordinator prepares that record and brings it through the laboratory’s agreed review procedure. The Quality Reviewer decides whether it is ready for approval. Inspectors and analysts can then consult the approved material when preparing checks or identifying the method used for a result.

Training acknowledgments connect a person with a controlled document and an acknowledgment date. Use that relationship to record which document the person was asked to read and accept. Keep the intended version clear when the procedure changes so a later audit can distinguish an earlier acknowledgment from the current method rollout.

How the work is organized

  • Document preparation. Document Coordinator maintains the title, version and attached material in Draft. A readable title helps staff distinguish a sample receipt procedure from an analytical method.
  • Approval and effectivity. The Quality Reviewer examines the document through the agreed review process. Check the effective date when introducing the approved procedure into daily work.
  • Staff acknowledgment. Record the person and date against the intended document record. Review those links when following up a method change with the people who use it.

What to agree during setup

Agree how the laboratory identifies a document version and preserves earlier material when issuing a replacement. Decide who may edit a Draft document and who approves it. A change to the title or version should not make an earlier acknowledgment appear to refer to a different procedure without a deliberate review of its context.

Define how the team records acknowledgment and who follows up with staff. Check the signed-in person’s mapping before using a personal acknowledgment view. Agree when a document becomes Obsolete and how the analyst locates the approved procedure appropriate to the work being performed. Keep the method label entered with a result consistent with the laboratory’s chosen naming convention.

Check the handoff on an actual case

Prepare a sample receipt procedure with a clear version and effective date. Document Coordinator attaches the procedure and submits it through the agreed review process. The Quality Reviewer checks the material and approves it. Record an acknowledgment for the Inspector who will use the procedure during sample intake.

Then rehearse a revised procedure. Confirm how the new document version is represented and how earlier acknowledgments remain understandable. Ask the Lab Analyst to locate an approved analytical method and compare its naming with the method label on a sample result. The team should be able to explain which procedure applied without relying on a document filename remembered from an earlier conversation.

What your team sees

  • Approved Methods — Consult approved controlled documents with their version and effective date.
  • Document Drafts — Prepare procedure changes before review.
  • My Training Acknowledgments — Find acknowledgments associated with the signed-in person.

Follow the work through
