What you can do
Operating the module
The account, offer and order connect through the dealer reference. Each line retains quantity, commercial value and promise. The review decision records who accepted the order and its scope.
How the work is organized
- Prepare. Sales Representative links the dealer, quote and product units to an order with the accepted quantity and promise.
- Review. Sales Manager checks the current order revision and credit review before approving its commercial scope.
- Follow up. The representative tracks a changed promise or partial shipment against the original accepted line.
What to agree during setup
Set dealer terms and credit currency. Agree who can revise a quote, capture acceptance evidence and submit an order. Require the Sales Manager to decide an order separately from its preparer. Check pricing, tax and units before the dealer receives the offer.
Check the handoff on an actual case
A dealer requests stocked mounting hardware for two branch deliveries. The representative prepares product units, quantities and a price. The dealer accepts only one branch. The order carries that accepted scope, original promise and warehouse; the quote remains available. If credit exposure needs an exception, the manager reviews it before order approval. A changed promise keeps its earlier value for follow-up.
Now revise the second branch promise after approval. The Sales Manager should see the new order revision before stock is reserved. Keep the original promise on the line and record the revised date, so the representative can explain the change to the dealer. If credit review is held, do not treat a sent quote as an approved order. Check the dealer’s active status and terms before accepting a replacement offer. The sales team can then distinguish an accepted order from a quote still waiting for dealer acceptance.
During the first operating week, compare the approved order with its shipment lines. If only one branch receives goods, leave the remaining order quantity open. A later cancellation should reduce only the outstanding scope. The Sales Representative owns the follow-up with the dealer; the Sales Manager owns any new commercial decision.
For a dealer with several ship-to addresses, check the destination on each accepted order before reserving a warehouse. The order owner should explain which line is ready, which line is held and which date changed. When the dealer accepts a revised quote, link that exact offer to the order so a later invoice can be explained from the same commercial basis.
What your team sees
- My Dealer Orders — Orders assigned to the representative, with dealer, value and current order status.
- Orders Awaiting Approval — Submitted orders whose current scope needs a Sales Manager decision.
Follow the work through
Follow the dealer order from commitment through recorded delivery. Use the supplier purchase when replenishment is needed, and the invoice close to trace the financial handoff. The data model helps your team prepare linked records.
