What you can do

Operating the module

Positions show product, location, lot and custody. Reservations link bounded quantity to demand. Transfer lines track dispatch and receipt; count lines hold expected and observed quantities.

How the work is organized

  • Locate. Warehouse Manager checks owned stock by warehouse and location after existing reservations.
  • Move. A reviewed transfer records dispatch separately from destination receipt, preserving the quantity still in transit.
  • Count. Warehouse Operator records blind observations; Warehouse Manager reviews a locked count before adjustment.

What to agree during setup

Agree warehouse and location codes, lot handling, reservation priority and release rules. Set count tolerances and who reviews an adjustment. Counters should record blind observations against a locked population rather than changing the expected figure.

Check the handoff on an actual case

A dealer needs stock spread across two locations. The manager checks available quantity after reservations and claims only the amount required. Another warehouse requests a transfer. Dispatch places its stock in transit; a partial destination receipt leaves the remainder in transit. A count later finds a difference, which is reviewed before adjustment while the original observation remains intact.

At the destination, the Warehouse Operator receives only part of the transfer. The remaining quantity is still in transit; it must not appear as available at either location. If a second receipt exceeds the dispatched balance, hold it for review. Check the source and destination warehouses on the transfer before correcting a location error. An approved transfer decision applies to its current quantity and entity, so a later increase needs review.

For the count, the counter records the observed amount without seeing or editing the expected figure. Warehouse Manager compares the difference with movements since the lock and decides whether an adjustment is warranted. Retain the count line and its decision even after a stock event posts. Sales staff should use available quantity after reservations when discussing a new dealer promise.

When a product uses lots, inspect the lot on the position, reservation and transfer line together. The warehouse scope matters even when two locations share a physical site: legal ownership stays with the entity on the position. During a count, stop conflicting movement in the locked scope, then review the observed difference against events recorded after the lock.

What your team sees

  • Available Stock — Owned quantity, reservations and availability at each product location.
  • Transfer Approval Queue — Transfers awaiting the Warehouse Manager decision.

Follow the work through

Follow the dealer order from commitment through recorded delivery. Use the supplier purchase when replenishment is needed, and the invoice close to trace the financial handoff. The data model helps your team prepare linked records.

What it keeps track of

Data model
Inventory positions
Current owned stock by complete identity and custody state; provenance is not a second balance.
Inventory reservations
Exclusive bounded demand claims through picking and owned transit.
Inventory counts
Blind scoped counts with explicit review and cost before adjustment.
Count lines
Observed base quantity and signed variance against an unchanged locked population.
Count locks
Time-bounded counted scope protecting all identities, including newly appearing positions.
Stock transfers
Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
Stock transfer lines
Partial transfer quantities retain equal in-transit ownership and cost.
Stock events
One immutable group of stock movements and the associated journal effect.
