How a Sports & Extra-curricular rollout works

Start with two activities for one term your coordinator, coaches and enrollment administrator can check together.

  1. Agree the operating boundary

The app runs activities, groups, enrollments, sessions, attendance, assessments, achievements and fees. Competition fixtures, payment collection, parent messaging and the student information system remain connected systems. Your coordinator confirms groups and achievements; Proto prepares information and configuration for review.

  2. Map the source data

Gather activities with capacity and dates, coaches, learners and current enrollments, and the fee schedule.

  3. Configure a bounded pilot

Pilot two activities for one term. Approve enrollments, record attendance, grade one assessment and confirm achievements.

  4. Rehearse the exceptions

A full activity must not take another enrollment. A duplicate enrollment must be turned down. A score above the maximum must be refused. An enrollment must not complete before results are reviewed.

  5. Reconcile and release

Compare enrollments, attendance and fees with your current records. Obtain sign-off from the activities coordinator, keep an export of the source and agree the rollback window before the term starts.

What the customer provides

  • Activities with codes, capacity, term dates and instructors.
  • Coaches and staff with their user emails.

  • The fee schedule and eligibility rules.

Changing it afterwards

Use Proto to prepare changes on a branch. Review the changed fields, affected permissions, import mappings and reports with their owners. Replay the pilot’s exception cases before release. Past terms keep their original records.
