What you can do

Measure progress the same way for everyone

Assessments belong to an activity course and carry a title, a due date and a maximum score: a beep test, a swimming grade, a music performance, a robotics build review. Coaches record each learner’s score. The score must be between zero and the assessment’s maximum, and the percentage is worked out from it. Results move from Submitted to Graded when the coach records the score, and to Reviewed when the Activities Coordinator confirms it.

Only reviewed results count toward completing an enrollment. A result in any other state cannot be marked Reviewed, so grades are confirmed in order.

How the work is organized

  • Assessments per course. Each course lists its assessments with due dates and maximum scores.
  • Scores within the maximum. A score above the maximum is refused.
  • Reviewed before it counts. The coordinator confirms graded results before an enrollment completes.

What to agree during setup

Agree the assessments for each activity and their maximum scores. Agree due dates across the term. Agree who reviews grades for each activity and how disagreements are resolved. Agree whether assessments are required to complete an enrollment.

Check the handoff on an actual case

The swim squad’s mid-term assessment is a timed 200 m freestyle graded out of 20, due October 10. The coach records 17 for one swimmer and tries 21 for another by mistake; the 21 is refused and corrected to 15. Both results move to Graded.

The coordinator reviews the results the next week, confirms them and they become Reviewed. At the end of term, swimmers whose required results are reviewed have their enrollments completed. A result still at Graded holds that swimmer’s enrollment open until it is reviewed.

Rehearse this before go-live: enter a score above the maximum and confirm it is refused, and try to complete an enrollment with an unreviewed result.

What your team sees
