What you can do
Buy the right quantity from the right supplier, approved
A purchase order goes to one supplier with an order date, expected delivery, Incoterms, currency, the buyer, the receiving warehouse and the supplier contract that applies. Its line items carry the product, quantity, unit of measure, unit cost and required date. For dual-sourced products, a vendor split shares the order across supplier sites or a second supplier by percentage.
Orders created from a replenishment suggestion start as Draft and are submitted for approval. The Procurement Manager approves them according to the supplier’s tier and the order value. An approved order is sent to the supplier. When the supplier confirms everything, including each vendor split, the order moves to Acknowledged with the acknowledgment date. An unconfirmed split leaves the order at Approved until it is resolved.
How the work is organized
- From plan to order. A purchase order suggestion becomes a Draft order with its lines and any vendor split.
- Approval by tier and value. Strategic suppliers and small orders follow lighter approval than conditional suppliers and large ones.
- Complete acknowledgment. Only a full acknowledgment moves the order on; partial confirmations are reported.
What to agree during setup
Agree approval thresholds by supplier tier and order value. Agree which products are dual-sourced and their default split. Load active supplier contracts with dates, committed spend, rebate and term overrides. Agree how supplier tiers are reviewed against scorecards, and how often. Decide which Incoterms and payment terms are standard by supplier.
Check the handoff on an actual case
The resin suggestion becomes a Draft order for 1,600 bags at 18.40 USD from the primary supplier, a Preferred-tier vendor, under its 2026 contract. Because the product is dual-sourced, the buyer adds a vendor split: 70 percent to the primary supplier and 30 percent to an Approved-tier alternate. The total is 29,440 USD, above the buyer’s limit, so the order goes to the Procurement Manager, who approves it.
The primary supplier acknowledges its share the next day, but the alternate has not confirmed. The order stays at Approved with the unconfirmed split reported. The alternate confirms on Friday and the order moves to Acknowledged.
