What you can do
Know who can swim and on which plan
A member record holds the swimmer’s name, member number, email, join date and status of Active, Paused, Expired or Closed. Members include families on a swim school plan and adults paying per session. A membership plan is what the pool sells: a plan name, price, session allowance and validity in days, such as a ten-lesson term or a monthly swim pass.
When a member buys a plan, the front desk starts a member plan with a start date, an expiry date and its own status. Each attended session uses one session from the plan. Bookings are confirmed only for members entitled to book, so the desk checks the member plan first.
How the work is organized
- Plans as products. The Aquatics Manager defines each plan once with its price and allowance.
- One row per purchase. Each purchase or renewal is a new member plan, so the history stays intact.
- Allowance used by attendance. Each attended session counts once against the plan.
What to agree during setup
List the plans you sell, including lesson terms, swim passes and family plans. Agree how pauses work for illness or holidays. Decide when members become Expired or Closed. Prepare an import of current members and their plans with dates.
Check the handoff on an actual case
A parent buys a ten-lesson term for her daughter, valid for 70 days from the first week of term. The front desk starts the member plan with those dates. The child attends lessons each Saturday, and each check-in uses one session.
The child breaks her arm in week four, so the desk pauses the plan under the swim school’s medical pause policy. When she returns, the plan is set Active again. At the end of term the plan expires and the desk offers the next term as a new member plan, leaving the earlier term on the child’s history.
