What you can do

Keep the decision with the record

L&D Admin maintains courses, employee enrollments and dated training records. An enrollment shows why a course was assigned, when it is due and whether it was completed. A training record can preserve the completion and expiration dates for a course or certification. Failed or cancelled learning should not produce a valid completed record.

Engagement surveys have a separate response cycle. Employee responses carry consent basis, score and department. CHRO / VP People may review survey context, but department results should be shared only when that department meets the survey’s minimum group size. Keep individual comments on response records rather than placing them in the aggregate result.

How the work is organized

  • Assign learning. L&D Admin maintains courses and enrollments; each enrollment names the employee, course, status and due date.
  • Record completion. A completed enrollment supports a dated training record and any certificate expiration.
  • Read engagement carefully. Survey responses carry consent basis, score and department; published department results require the survey’s minimum group size.

What to agree during setup

Agree which courses are mandatory for each role and how new hires receive those assignments. L&D Admin maintains the catalog and records course progress. A completion date and score belong on the enrollment; the durable training record carries its own completion and expiration dates. Name who corrects a failed or expired enrollment.

For engagement, decide the survey window and minimum group size before opening it. Employee may submit a response with consent basis; CHRO / VP People can read survey context. Department results can be shared only once enough responses exist in that department. Comments stay with individual responses and should not appear in aggregated results.

Check the handoff on an actual case

Take an employee with a mandatory course due this month. L&D Admin checks the enrollment status and due date against the course. After completion, compare the enrollment’s completion date with the training record and its expiration. If the employee fails or the course is cancelled, no valid certification should be inferred from that enrollment.

Then use an open survey with responses from two departments. Compare each department’s response count with the survey’s minimum group size before reading any published result. A department below the threshold stays out of the shared result even if the overall survey has enough responses. Keep individual comments on response records. This is a separate decision from course completion and belongs to the engagement owner.

What your team sees
