What you can do
Keep the decision with the record
Payroll Admin prepares runs against a payroll calendar and pay period. Each run connects to employee statements, and each statement has lines explaining earnings and deductions. Benefit enrollments carry plan, coverage, effective dates and contribution amounts that may affect a statement. Check the enrollment window before including a deduction in the period.
A run awaiting approval calls for a review of statements and run totals. The approving person is recorded on the run, and posting has a separate date. The internal run can track preparation and approval, while tax calculation, carrier exchange and actual payment need connected services with their own confirmations. A run marked paid is not itself a bank receipt.
How the work is organized
- Set the period. Payroll Admin chooses the calendar, period start and end, pay date and run type.
- Review employee amounts. Statements and statement lines explain earnings and deductions, including active benefit enrollments effective for that period.
- Decide the run. Payroll Admin checks totals and records approval before posting; external tax, bank and carrier work follows its own confirmation.
What to agree during setup
Agree the calendar frequency, eligible employee population and cutoffs for time, leave and benefit elections. A run begins in draft, moves through calculation and reaches pending approval for review. Payroll Admin should reconcile statements and line amounts before recording a decision. The run’s approval reference and posted date make later review possible.
Benefit plans carry country, class and effective windows. Check the employee’s enrollment event, coverage and plan window before using its contribution in a pay period. Tax calculation, filing, carrier exchange and money movement need connected services and their acknowledgements. An internal paid status alone should never stand in for a bank receipt.
Check the handoff on an actual case
Take a run whose period includes the effective date of a new benefit election. Payroll Admin opens the run and calendar, then finds the employee’s statement and deduction lines. Compare the plan, coverage tier and effective date with the amount used in the statement. If the election begins after the period end, the deduction belongs in a later run.
Next, compare the run’s gross and net totals with its statements before approval. Record the approving person and check any posted date only after the run reaches that state. Rehearse a corrected enrollment during a calculating run so Payroll Admin knows whether to recalculate statements. Keep external filing and payment acknowledgements with their owners rather than inferring them from the internal run status.
