What you can do
Keep the decision with the record
The employee profile is the current working record for position, department, location, manager, pay grade and payroll calendar. HR Business Partner (HRBP) maintains it alongside dated employment events. A transfer can change a position and manager together, while a compensation change may affect a later payroll period. Record the effective date before editing the current profile so the team can explain which assignment applied on a given day.
A position points to its job title, department, location and pay grade. The employment event records prior and new position or manager values when those change. Use the Employee Lifecycle page to compare active employees with effective-dated history and onboarding completion. CHRO / VP People may inspect that history, while HR Business Partner (HRBP) makes the source correction.
How the work is organized
- Anchor the employee. HR Business Partner (HRBP) checks the employee’s position, department, location and manager against the approved organization structure.
- Date the change. An employment event records the effective date and prior and new position, manager or pay where relevant.
- Check the current profile. After the event is applied, compare the employee profile with the intended state and keep the dated event for later review.
What to agree during setup
Agree who records a hire, transfer, manager change, compensation change and separation. HR Business Partner (HRBP) can manage the employee and employment records; CHRO / VP People has read access for review. Set an escalation path for compensation changes that exceed the agreed band before anyone changes current pay. Use position and pay grade records as the reference for that decision.
For a transfer, agree whether the position, manager and department change together and which effective date controls the move. Check the destination position and reporting line before the event is entered. If the change affects payroll, tell Payroll Admin which period should reflect it. Keep a correction on the dated event so the current profile can be checked again.
Check the handoff on an actual case
Take an employee moving to a new position and manager next month. HR Business Partner (HRBP) records the transfer with the effective date, prior and new positions, and prior and new managers. Before that date, the current employee profile should still describe today’s assignment. On the effective date, compare the profile with the event and ask the new manager to confirm the reporting line.
Now move the effective date into a payroll period already being prepared. HR Business Partner (HRBP) and Payroll Admin review whether the pay or cost center changed and which period needs correction. A second transfer with the same employee tests whether each event remains understandable in order. The Employee Lifecycle page helps the people team read current employees and effective-dated employment history while checking the handoff.
