What you can do
Put the right service on the schedule
Services describe what the salon offers: a tanning bed session, a spray tan, a red-light treatment. Each has a duration in minutes, a capacity, a price and whether it is currently offered. Sessions put a service on the schedule with a start, an end, a capacity and the instructor running it.
A session moves from planned to open when it can be booked, to full when its capacity is taken, and to completed once every confirmed booking has been delivered, or it is cancelled. Capacity is the number the front desk works to: bookings are confirmed only while places remain, and the session switches to full on its own when the last place goes.
How the work is organized
The salon manager sets services and the schedule; instructors run sessions.
- Capacity per session. Each session carries its own capacity, which can differ from the service default.
- Named instructor. Every session names the instructor responsible.
- Completed by delivery. A session completes when all its confirmed bookings have been delivered.
What to agree during setup
List your services with durations, capacities and prices, and decide which are offered now. Agree how far ahead sessions are scheduled and who can open or cancel them. Prepare examples of a regular bed session, a busy Saturday session that fills, a cancelled session and an instructor swap.
Check the handoff on an actual case
On Friday afternoon the manager opens six spray tan sessions for Saturday morning with two places each. By Friday evening five are full. The front desk sees the one remaining place on the upcoming sessions list and offers it to a member who calls in. When that is booked, the last session switches to full and no further bookings are taken.
On Saturday each session completes as its bookings are delivered, so by midday the manager can see which sessions ran and which instructor ran them.
