What you can do
No session without cleared consent
Before any work starts, the appointment must be cleared. The Booking Coordinator prepares a consent review packet: the artist, the appointment time, the estimated hours and the consent reference, backed by the signed consent form and the ID check attached to the appointment. The packet is checked against the appointment and the attached evidence, and the submitted version is frozen.
A Booking Supervisor who did not prepare the packet decides. The decision is Approve, Reject or Return, with a written reason, the date and the supervisor’s name, recorded against the appointment’s exact revision. Approval clears the appointment for the session. Return sends the packet back, for example when the ID photo is unreadable. Rejection stops it, for example when the client does not meet the studio’s age policy.
How the work is organized
- Packet with evidence. Artist, time, estimated hours and consent reference sit with the signed form and ID check.
- Independent supervisor. The coordinator who prepared the packet cannot clear it.
- Decision tied to revision. A change to the appointment after clearance, such as a new time or artist, needs a new decision.
What to agree during setup
Agree your studio’s age and consent policy in writing, including which ID documents are accepted. Agree what the consent reference points to, such as the number on the signed form. Agree who may act as supervisor and how quickly packets must be cleared before the appointment. Agree when to return and when to reject.
Check the handoff on an actual case
A coordinator prepares the packet for the August 12 half-sleeve: artist named, 13:00, four estimated hours, consent form CF-2291. She attaches the signed form and a photo of the client’s driving license and submits it. The supervisor finds the license photo cut off at the date of birth and returns it with the reason “date of birth not visible”. The client sends a clear photo, the coordinator attaches it and resubmits.
The supervisor approves the packet and the appointment is cleared. When the client later asks to move to 14:00, the appointment’s revision changes and the supervisor clears the new revision before the session.
