How a Transport Management rollout works

Agree freight inputs and decision responsibilities, then close a pilot against source paperwork.

  1. Map the freight records

Compare shipment and carrier records with the original business documents. Agree the import mapping for cargo weights, dates, contract terms and charge amounts. Keep historical movement records separate from the new events used for the pilot.

  2. Agree the first lane

Choose a carrier service and rate sheet with a representative weight band, freight class and accessorial. Confirm term dates, currency and the authorized setup account. Agree the contract review and activation responsibilities before the planner uses the terms.

  3. Rehearse freight execution

Transportation Planner creates a shipment and reviews its rate. Dispatcher/Ops checks the tender, response and movement events. Replay delivery and an older milestone; inspect the proof identity, timestamps and forward lifecycle.

  4. Rehearse charge review

Prepare invoice headers and lines with a verified entry account before setting Auditing. Freight Audit Clerk reviews the results and an unsupported accessorial case. Check that an unresolved audit result or zero amount does not pass the automatic approval conditions.

  5. Test access and connections

Confirm the customer's read-only permissions and the clerk's invoice limits. Establish an external carrier access boundary, and verify actual tender delivery, tracking, document access and payable acknowledgment separately from local status fields.

  6. Release the reviewed operating scope

Logistics Manager compares the pilot outcomes with source paperwork and agrees the configured decisions. Train the team on incomplete evidence and blocked cases, then expand only after the movement and invoice can both be explained.

What the customer provides

Bring the source rate sheet, carrier contacts, lane and service details, freight weights and classes, delivery documents and representative carrier invoice lines. Include a known rejected tender, detention disagreement and incomplete proof record. Identify the invoice-entry account, contract-review owner, operational verifier and any waiver decision authority.

Provide authenticated access through the platform’s normal connection setup, never by copying credentials into a record or a chat. Explain the upstream warehouse reference and downstream payable identity that the team will reconcile. Agree how each operational issue is assigned and how the responsible person records a handoff.

Changing it afterwards

Keep the exact applied contract and historical movement evidence available when terms or mappings change. Rehearse the affected rate, movement and audit actions again with new and historical records. Confirm new contract dates separately from the reminder outcome. Repeat carrier access tests when sharing settings change. Review records and the operating access.
