What you can do
Ledger and period review in the working day
Journal entries carries the entry number, date, source, status, organization and accounting period. Journal lines holds debit and credit amounts, posting type and account. Rollups show debit and credit totals and an out-of-balance result. Accounting periods supplies start and end dates and Open, Closed or Locked status. Staff Accountant reviews these relationships before a journal status update or period review.
How the work is organized
- Record owner. Keep the responsible organization and source identity clear before the next person acts.
- Decision point. Use the current status and the underlying lines or linked records to decide the next step.
- Evidence trail. Keep the reviewer, amount and operation outcome traceable from the business record.
An expense report can name its accounting period, and journal source can identify Expense Reports. Those references help the team explain when a supplier cost entered the books. A Posted entry should be reviewed with its lines and period; a Reversed entry remains distinct from a draft correction. Operations Overview gives the Controller a ledger balance, while detailed journals support the actual investigation.
What to agree during setup
Agree the chart of accounts, normal balance of each account, organization ownership and period calendar. Decide how accounting events from expense approval or payment become journal entries, and how the accounting team confirms their posting. The team should also define who may close or lock a period and how late corrections are handled.
The team should decide who handles corrections before the first live cycle. Give each handoff an owner and confirm that a failed action remains visible to that owner. Use one representative supplier and one exception during setup, so permissions and reports reflect the work people will actually do.
Check the handoff on an actual case
Take an approved supplier report and identify its accounting period. Create a journal entry sourced to Expense Reports, with debit and credit lines coded to active accounts. Staff Accountant checks that the rollups balance and that the period is Open before marking the entry Posted. Rehearse an out-of-balance entry and ensure it stays in review until corrected.
Ask the next role to find the same case from their own screen without help from the preparer. They should be able to identify the supplier or partner, the relevant amount, the current status and the supporting decision. If a correction is needed, keep the prior result available and repeat the handoff with the corrected record.
