What you can do
Track each invoice through collection
Receivables gives AR Specialist a record of what a remitter owes, when it is due and how much has been received. The invoice carries its organization, issue date, due date, total and balance. Each line describes the work or product, quantity, unit price, revenue category and GL account. Remitters holds the party’s payment terms and billing contact.
How the work is organized
- Prepare an invoice. AR Specialist enters the remitter and lines, then checks the calculated subtotal against the invoice total.
- Send with a receipt. The native send action guards a Draft to Sent change and records an Invoice Send operation receipt.
- Follow collection. AR Specialist watches balances and due dates while Treasury Analyst links an inbound payment to the invoice.
What to agree during setup
Agree who owns the remitter directory and how invoices are numbered and reviewed before send. Decide which revenue categories and GL accounts the team uses for each line. Set a practice for recording partial cash against an invoice and for checking an overdue balance with the remitter before any follow-up. The recorded send action supplies a transaction result; the team should retain the customer-facing document or delivery evidence according to its normal process.
Check the handoff on an actual case
Create an invoice for a support service with one line, a due date and an active remitter. AR Specialist checks the organization and total, then uses the send action on the Draft invoice. The status becomes Sent and an Invoice Send receipt records the operation result. Add an inbound payment related to that invoice and compare the amount received with the remaining balance. If the receipt covers only part of the invoice, the team can continue from the Partially Paid status and collect the balance.
Try sending the same invoice again from Sent during rehearsal. The guarded transition should reject a second success. If the invoice becomes Overdue, open the saved overdue list and compare its balance with related incoming payments before contacting the remitter.
AR Specialist should keep the remitter reference and invoice number stable when following incoming cash. The invoice balance is a review point after every related payment, especially when an amount covers only part of the total. Treasury Analyst can open the linked payment to compare its date, direction and amount before AR Specialist changes the invoice status.
What your team sees
- AR Invoice Register — Review each invoice’s remitter, dates, total, amount received and status.
- Invoices by Status — See Draft through Paid invoices in the status board.
- Overdue Receivables — Find overdue balances before contacting the remitter.
Follow the work through
See the related process for the operating sequence. Use the data model to map source identifiers before import and implementation to rehearse the handoff with your team.
