How a Vehicle Inspection App rollout works
Start with a depot and a complete inspection-to-delivery rehearsal.
Agree the operating boundary
Choose the organization, depot and load pattern for the first cycle. Name the inspection, maintenance and dispatch owners, with Operations Manager responsible for the load decision.
Map the records
Match vehicle unit numbers, driver identities and team members before importing inspections. Link every defect to its vehicle and originating observation. Agree how textual evidence references resolve to the operating record.
Configure the working routine
Set the checklist wording, severity definitions and repair handoff. Review load preparation, approval and the resource checks with the people who will use them. Agree how due service is reviewed before the next dispatch.
Rehearse the exceptions
Try a failed latest pre-trip check, an unrepaired Critical defect and a driver already assigned elsewhere. Include a wrong-stop signature and a departure record that needs reconciliation.
Review and release
Compare the imported fleet and open work with the source. Obtain the operating owners' acceptance of the pilot, retain the source export and agree how to recover if a handoff fails during the first live cycle.
What the customer provides
- Vehicle identifiers, asset types and current operating condition.
- Driver identities, license details and existing assignment commitments.
- Inspection checklists, current findings and maintenance due dates.
- Named preparation, approval and evidence-review owners.
- A representative load with pickup, delivery and supporting documents.
- The source and contact owner for each planned external connection.
Changing it afterwards
Use Proto to prepare a change with the affected operating owner. Review checklist wording, permissions and record references together. Repeat the relevant exception cases when assignment rules or evidence handling change. Keep earlier inspection findings and review decisions available so the team can still explain completed trips.
Begin with the first operating cycle and confirm the pricing policy before arranging implementation work.
