Integrations and source ownership

• Telematics provider. Set up a connection for vehicle location and milestone information. Map incoming events to the intended load with their occurrence time and source, then agree how Dispatcher confirms the reported result.
• Workshop system. Decide how repair evidence is passed to Maintenance Coordinator. Match the vehicle and originating defect before updating its repair disposition, and keep the workshop’s own service record with that provider.
• Fuel-card provider. Map purchases to the vehicle with the fuel type, volume, unit cost and amount. Agree units and purchase currency before importing a batch, then reconcile accepted entries to the provider’s statement.
• Accounting system. Agree the handoff for load-linked freight charges, including charge type, currency and billing status. The accounting owner confirms the external financial outcome and any correction that needs to return to the operating team.

Each connection needs an owner, a record-matching convention and a clear decision about which system supplies the current value. Agree how repeated deliveries, changed source records and rejected imports are identified. Keep provider credentials in the approved secret store and limit access to the agreed operating scope.

Rehearse a repeated event, an unknown vehicle and an unavailable provider before scheduling imports. Dispatcher should know which tracking update needs review; Maintenance Coordinator should know which repair message has not been matched. A successful transmission is separate from the operating team’s confirmation of the result.

Use the implementation plan to agree the connection acceptance cases before expanding the pilot.
