What you can do

Put the commercial basis beside the supplier

A master agreement records an umbrella commitment with a supplier, start and end dates, total commitment, owner Buyer, contracting party and signed reference. A contract rate records an item price with effective dates and minimum quantity. Together they tell a Buyer which price and commitment can support a purchase, and when review is needed before a release or renewal.

An agreement’s status distinguishes draft, pending approval, active, expiring, renewed, expired and terminated. Procurement Manager reviews the decision before signing; Controller can inspect spent and remaining amounts. A rate has its own lifecycle so a negotiated replacement does not erase the price used by an earlier order. Blanket releases consume agreement capacity and connect the release to its generated order lines.

How the work is organized

  • Agreement window. Record the supplier, owner, start and end dates, category, total commitment and notice timing. The owner can plan the next review while Controller checks consumption.
  • Item price. Keep each supplier and item rate in its effective date window. Record whether it came from negotiation, a GSA, a GPO, an RFQ award or catalog pricing.
  • Release evidence. Link a blanket release to its agreement and supplier, then retain the line quantity, contract rate and generated order reference.

What to agree during setup

Choose who prepares agreements, who approves the commercial commitment and who records the signed reference. Set the meaning of renewal notice selections for the team’s calendar. Define how contract rates are activated when windows overlap, and who reviews a price override on an order. Decide how Controller reconciles agreement spent and remaining values with posted commitment allocations. Make the source of legacy agreements and baseline commitments explicit during migration.

Check the handoff on an actual case

Take an active agreement for a recurring component with a rate that ends next month. Buyer opens Agreement Calendar and checks the agreement’s remaining value, then checks Active Contract Rates for the item and planned order date. Prepare a blanket release within the remaining commitment and inspect the generated line’s quantity, price and rate reference. Next prepare a release that would exceed the remaining value; Procurement Manager and Controller should review the commitment before any order is issued.

For renewal, compare the original start and end dates with the new period and document which rate applies to orders on either side of the change. The existing order retains the terms it used at issue.

What your team sees

  • Agreement Calendar — Active and expiring supplier commitments with start and end dates.
  • My Agreements — Agreements owned by the signed-in Buyer and their remaining value.
  • Active Contract Rates — Current supplier-item prices and effective windows.
