How a Volunteer Management rollout works

Set up roles, records and a complete volunteer service rehearsal before release.

  1. Define the operating rules

Agree who owns volunteer intake, screening, shift planning, assignment decisions and service verification.

  2. Prepare records

Enter organizations, team members, volunteer roles and a small set of volunteers and program activities.

  3. Staff a sample shift

Plan a dated shift, open it, create an assignment and review the Submitted placement.

  4. Close a service case

Mark attendance, log service hours, verify one entry and reject another.

  5. Review exceptions and access

Inspect receipts, decision history, screening evidence and each role's permitted work.

What the customer provides

Bring current volunteer contact and availability details, role requirements, the first program activity and shift schedule, the staff who make decisions and the rules for screening evidence. Agree which time zone and time format apply to shifts. Choose owners for correcting mismatched references and failed actions.

Changing it afterwards

Add new roles and shifts through their normal records. Rehearse changes to screening requirements and reviewer access before using them for placements. If a shift is cancelled, review its assignments and any service already recorded. Keep the old decision and action records when correcting a case so the team can explain what happened. See data model and roles for the records and responsibilities.
