What you can do
Keep reported work with its placement
service hours stores a service date, hours, activity summary, volunteer and assignment. verification status distinguishes Unverified, Verified and Rejected. The link to volunteer assignments gives a reviewer the planned placement, while the Volunteer reference identifies the person whose service is being recorded. planned hours and logged hours on the assignment help the team compare expectations and recorded work, but the verification decision belongs on each service entry.
The Service Hours Verification action lets a coordinator verify or reject a logged entry. It updates the service record and writes an operation receipts entry linked to the same assignment. That receipt is useful if a decision cannot be completed or needs review. Only verified service should be used when the team presents approved service totals.
How the work is organized
- Log. Volunteer Coordinator records the date, hours and short description of work against the correct volunteer and assignment.
- Review. Volunteer Coordinator checks the entry against the shift and attendance record before choosing Verified or Rejected.
- Reconcile. Operations Analyst reads verified totals and follows receipts that signal an incomplete or failed action.
What to agree during setup
Decide who is permitted to enter hours, who can verify them and what supporting notes or attachments are expected for unusual work. Agree whether the reviewer may verify an entry they entered. Set a policy for corrections: the reason for a rejected entry should be clear in the team’s operating notes because verification status alone stores only the outcome. Define which service date applies when a shift crosses midnight or spans more than one day.
Use a real pilot shift with a planned assignment and reported attendance. Enter one ordinary service record and one disputed amount. This tests whether the people making decisions can see the linked context and whether the report excludes unverified work.
Check the handoff on an actual case
A volunteer attends a planned shift. Volunteer Coordinator marks the linked assignment Attended and records a service hours entry with the date, hours and activity summary. Volunteer Coordinator opens Service hours for review, checks that the entry points to the same volunteer and assignment and compares it with the planned shift. The reviewer verifies the ordinary entry and checks that the result appears in Verified service ledger.
For the disputed entry, the reviewer rejects it and checks the action receipt. If the receipt is Failed or needs review, staff follow the parent assignment before relying on the result. Confirm that Service hours by volunteer totals only the entries marked Verified and that rejected or unverified entries remain visible for correction.
