What you can do
Every approval has a name, a reason and a revision
A review decision records who decided, which revision of the document they decided on, whether they approved, rejected or returned it, when, and why. Decisions are their own records, attached to the document, so the history of a charge or credit shows each review in order. A preparer cannot approve their own document; the decision has to come from an independent reviewer.
Evidence files sit alongside the decisions. Each attachment has a title, the evidence type, who uploaded it and when, and whether it is internal or can be shared with the customer or partner. A reviewer approving a large adjustment can see the correspondence and readings that support it without leaving the document.
How the work is organized
The accounting reviewer decides; the preparer supplies evidence.
- Independent decisions. Self-approval is refused, and every decision records the reviewer.
- Decisions keep the revision. The revision number on each decision shows exactly what was reviewed.
- Evidence with visibility. Internal working papers stay internal; shared evidence can be given to the customer.
What to agree during setup
Agree which documents need review and whether larger amounts need a second reviewer. Agree the evidence each document type needs and who can mark evidence as shared. Decide how quickly reviews should be done and how a returned document is followed up. Prepare examples of an approval, a rejection, a return for missing evidence and a document edited during review.
Check the handoff on an actual case
A preparer submits a large adjustment for a commercial customer with a meter test certificate attached as internal evidence and a letter to the customer as shared evidence. The reviewer returns it because the certificate covers a different meter. The preparer attaches the right certificate, sends it again, and the reviewer approves. The document now shows two decisions, a return and an approval, each with its reason and the revision it applied to.
