What you can do
Know which rooms are ready for the next guest
Every unit on the property is recorded with its unit number, type and capacity, and one status: available, occupied, cleaning or maintenance. Status moves with the guest. A unit becomes occupied at check-in, goes to cleaning at checkout, and returns to available only after the room has been cleaned and passed inspection. A unit that needs repair goes to maintenance until the work is done.
That sequence is what protects the next guest. A unit cannot be handed out as available just because the previous guest checked out; somebody has to have cleaned and inspected it. The turnaround board shows the whole property at a glance, so the front desk and housekeeping work from the same picture.
How the work is organized
Service staff move units through cleaning and maintenance; the front desk reads the board before allocating rooms.
- Status by event. Check-in and checkout change unit status as part of the stay, not by a separate manual update.
- Clean before available. After checkout, the unit stays in cleaning until the housekeeping task is completed and the inspection passes.
- Capacity on the unit. Each unit’s capacity is checked when a stay is confirmed, so a unit is never booked for more guests than it holds.
What to agree during setup
List every unit with its number, type and capacity. Agree what a passed inspection means for each unit type and who records it. Decide how long a unit can stay in cleaning before the front desk is warned, and how maintenance units are handled when they are already booked. Prepare examples of a same-day turnaround, a unit that fails inspection and a unit taken out for repair.
Check the handoff on an actual case
A guest checks out of a cabin at eleven. The cabin moves to cleaning on the turnaround board and a cleaning task is open against it. Housekeeping completes the task at one and the inspection passes, so the cabin moves to available. The front desk can now check in the afternoon arrival for that cabin, knowing it is ready.
If the inspection finds a broken heater, the cabin moves to maintenance instead, and the front desk sees that before the next guest arrives.
