What you can do
Put a date and owner on the next action
An investigation may need an interview, a filing, a decision or a communication by a particular date. A matter deadline records its type, due date, owner and optional completion date and court receipt. The Investigator and Ethics Manager can distinguish work still due from work with an actual completion record. A date in someone’s personal calendar is useful for reminders, but the matter record should hold the accountable action.
Matter events give the team a chronology. Each event has a line number and revision, an event type, and dates for when it occurred or is due. The external receipt and document revision fields can connect a filing or communication to the version and response that matter. The team can follow the sequence without treating every planned event as already completed.
How the work is organized
- Deadlines. Due actions have a named team member and a separate actual completion date.
- Events. Interviews, filings, reviews, decisions and communications sit in the matter chronology.
- Receipts. External and guarded-action references help staff reconcile what was requested with what took effect.
What to agree during setup
Decide which deadline types require a recorded receipt and who confirms completion. Set the organization’s time zone before interpreting due dates across locations. Agree how to revise an event if a filing date or document version changes; a correction should leave the case chronology understandable. The matter owner needs a daily route for checking due work and escalating an action that cannot be completed on time.
A guarded action has an expected source revision and a persisted result state. When a provider or internal action returns an uncertain result, the Ethics Manager should reconcile the original operation key before requesting another action. The failure reason and effect references make that investigation possible. A new row that hides an earlier failed result would weaken the case record.
Check the handoff on an actual case
Give an Investigator a dated filing deadline on an active matter. Record a related filing event with its document revision. When the filing is actually accepted, enter the completion date and external receipt. Compare that evidence with the event and controlled document. If the external receipt has not arrived, the team should still see the deadline as unresolved rather than assume that submitting the filing finished it.
At review, look for overdue work and guarded-action exceptions. A matter can have a review decision while a deadline or external result still needs resolution. The Ethics Manager should be able to explain both before closure. The completed case retains its original due dates, who owned them and when fulfillment was recorded.
