How a Yard Management System rollout works

Pilot an operating shift with observable arrivals, independent dock decisions and reconciled handoffs.

  1. Agree the yard boundary

Select the organization, parking area and dock work for the pilot. Identify the Inventory Clerk and independent Transport Supervisor on each shift, plus the Inventory Supervisor responsible for stock scope.

  2. Map the operating records

Match load numbers, trailer identifiers and partner locations. Confirm driver and vehicle codes, item base units and the stock-request references used in evidence records. Follow the dependency order in the data model.

  3. Configure the pilot

Prepare the load board, assignment schedule and submitted-visit review queue. Agree the physical dock evidence, reservation authority and what must persist before a visit becomes Completed.

  4. Rehearse rejection paths

Attempt self-approval, a stale revision and completion before approval. Test overlapping vehicle commitments, an open Critical defect and a stock reconciliation mismatch. Confirm the incoming shift can find the reason each case remains unresolved.

  5. Reconcile and release

Compare open visits and load commitments with the physical yard, then reconcile stock requests and operation receipts. Have the responsible people accept the operating results before extending to another shift or connection.

What the customer provides

  • Yard parking names, dock instructions and examples of gate arrival evidence.
  • Open loads, appointment windows and the original promised delivery times.
  • Driver eligibility and vehicle readiness records, including defect release evidence.
  • Item units, lot commitments and outstanding stock requests for the pilot.
  • Named reviewers and example documents for dock and recipient confirmation.

Changing it afterwards

Use Proto to prepare the changed configuration for review. Rehearse the affected permissions and operating cases before release. Preserve earlier decisions and their source revisions when a later load plan changes. A new connection needs its own field mapping and retry test before it contributes evidence to the operating queue.
