How a Yoga / Meditation Studio rollout works

Agree the operating boundary
The scope is studio operations: services, sessions, members, plans, bookings, check-in, payments and instructor credentials. Card processing, online booking pages, messaging and accounting remain connected systems. The studio decides its booking, pause, no-show and refund policies; Proto prepares configuration for review.
Map the source data
Bring member numbers and emails, active plans with start and expiry dates, the service list and the timetable. Link every instructor and coordinator to a platform user.
Configure a bounded pilot
Pilot one week of the timetable with the plans you sell today. Confirm bookings, check members in and collect pending charges at the desk.
Rehearse the exceptions
Try to confirm a booking for a member on a Paused plan and a booking for a Full session. Check a member in twice. Cancel a paid booking and approve the refund. Submit an instructor certificate that expires within two months.
Reconcile and release
Compare members, active plans, confirmed places and receipts with the source and the card terminal. Obtain the Studio Manager's acceptance and agree the rollback window before opening the full timetable.

Changing it afterwards
Use Proto to prepare changes on a branch. Review changed fields, permissions and reports with the Studio Manager. Replay the pilot’s exception cases before release. Bookings and payments already recorded keep their original values.
