What you can do
Follow the material order through receipt
The Production Planner records supplier purchase orders and their material lines so the shop can follow what has been ordered and received. Each purchase order names the supplier and due date. Its lines identify the items, ordered quantities, received quantities and unit costs needed to discuss an outstanding delivery.
Start the purchase order in Draft while the supplier and lines are checked. The approval decision moves it to Approved, and Sent records that the order has been issued to the supplier. Received marks the completed purchasing handoff under the shop’s agreed receipt procedure. Cancelled remains available for commitments that will not proceed.
How the work is organized
- Supplier identity. Use a supplier party record with a recognizable name and current email. Check the active setting when preparing an order. This keeps repeat purchases connected to the same supplier history.
- Line quantities. Record each purchased item with its ordered quantity and unit cost. Update received quantities against the correct lines when material arrives. Use the item’s unit consistently when comparing the order with the delivery.
- Due-date follow-up. Review due orders with their current state and line balances. The planner can distinguish an order that still needs approval from one already sent whose remaining material needs supplier follow-up.
What to agree during setup
Agree the purchasing approval policy and configure the Manager’s responsibility for supplier commitments. The Production Planner prepares the order and maintains its lines. Decide how a changed quantity or cost is reviewed before the planner sends revised instructions to the supplier.
Define the handoff from physical receipt to the inventory balance the operators will use. Stock receipt is a connection or setup procedure to arrange with the system that owns incoming inventory. Agree where the lot and storage location are established, who reconciles the receipt, and when the purchase order can be marked Received. Keep the purchasing decision traceable even when deliveries arrive in parts.
Check the handoff on an actual case
The planner orders 10 kilograms of a print material for Monday. The Manager approves the commitment after checking the lines, and the planner marks the order Sent. On Monday the supplier delivers 6 kilograms. The planner records the received quantity on the correct line and follows up on the remaining 4 kilograms.
Use the rehearsal to compare that partial delivery with the supplier order and the physical stock handoff. The order should remain distinguishable from a fully received purchase until the agreed completion condition is met. When the remaining material arrives, reconcile the line quantities before recording Received. Ask the operator to identify the material lot they will issue to the next print job, using the agreed inventory receipt procedure.
