What you can do

Explain the ledger movement behind a client document

A client amount needs accounting lines that explain its effect. Accounting Preparer checks the debit and credit lines linked to the document and their ledger accounts. Accounting Reviewer can inspect the source and the reviewed amount before the posting action proceeds. The debit total and credit total must agree for that document.

Ledger accounts retain their account code, provider identity and currency. Dated snapshots show ledger and available amounts in USD, with a source snapshot reference. Keep the observation date visible when comparing positions. An earlier snapshot can explain a previous balance without being treated as the current position after new activity.

How the work is organized

  • Check the account. Confirm that each line references the intended ledger account and check its owner and active state. Account codes and external references help distinguish accounts with similar business descriptions. Preserve those identifiers when importing opening data.
  • Check the posting basis. Compare debit and credit line amounts for the document. Posting also checks that the applicable accounting period is open. Retain the reviewed revision and actual operation outcome so the team can distinguish an eligible request from an executed posting.
  • Read dated positions. Compare snapshots for the same account by their observation date and source reference. Review ledger and available amounts separately. A difference needs an explanation from the relevant account evidence before anyone changes a document to make totals appear equal.

What to agree during setup

Agree which ledger accounts the pilot will use and who owns the accounting-period decision. Establish the authorized import or action that supplies accounting lines, and test its access before the preparer uses those lines for posting. Map each opening account to its stable code and external identity. Confirm how any connected accounting service returns actual posting evidence and how that evidence is retained with the operation receipt.

The account currency and organization currency provide context, while document and line amounts use USD. Agree the source and effective date of any exchange rates before importing amounts. Keep the conversion policy in the setup review and reconcile a sample back to its source before expanding the account list.

Check the handoff on an actual case

Prepare a USD 900 client document with a debit line of USD 900 and a credit line of USD 850. Run the posting rehearsal and confirm that the imbalance stops execution. Correct the lines through the appropriate review path, then test the balanced version in an open accounting period.

Retain the actual posting receipt and locate the resulting effects. If the action times out, inspect that receipt before resending the request. Ask Accounting Reviewer to reconcile a dated account snapshot against the recorded activity and explain any remaining difference. A matching pair of line totals alone does not explain whether the posting completed.

Include a closed-period attempt in the rehearsal. The preparer must be able to find the reason it did not proceed, while the successful earlier posting remains available for inspection. Corrections after execution retain the original accounting history.
