How a Accounting with GST/Tax rollout works
Pilot a complete finance cycle with source documents and named reviewers before expanding access.
Agree the accounting scope
Controller chooses the first organization and tax period with Staff Accountant. Confirm the base currency, document inclusion policy, invoice date basis and treatment of recorded tax amounts.
Map records and responsibilities
Admin maps users and finance staff. Import the chart of accounts, period calendar and active counterparties before dependent documents. Agree bill approval and payment release authority with Controller.
Prepare the pilot documents
AP Specialist enters a vendor bill and AR Specialist prepares a customer invoice. Review source files, line coding and tax amounts before using the approval and send actions.
Rehearse payment and exceptions
Treasury Analyst releases a scheduled payment and follows it to bank evidence. Include a partial receipt, a failed action and an invalid status transition. Staff Accountant tests an unequal journal and a closed-period entry against the agreed controls.
Review the period and open access
Compare the GST position with the native documents, reconcile balances and read the action receipts. Controller records the review conclusion. Expand the scope after ordinary role accounts can perform their tasks and unauthorized actions are rejected.
What the customer provides
- Legal entities, base currencies and tax registration details.
- Chart of accounts, current period calendar and approved accounting treatment.
- Customer and vendor references, terms and source invoices.
- Open balances, journal support and bank evidence for the pilot cycle.
- Staff responsibilities, approval limits and the owners of external connections.
Changing it afterwards
Use Proto to prepare changes for review with the affected operators. Recheck account mapping, tax inclusion rules and role access whenever the operating policy changes. Replay the pilot’s invalid transitions and reconciliation cases before releasing the new configuration. Preserve earlier decisions and evidence so a correction remains explainable.
