What you can do
Put a second person between the price and the customer
A priced quote waits in Review until a Pricing Reviewer decides. The reviewer sees the quote header, every priced line with its unit cost USD, the requirements attached to the quote and the evidence files, then records one of three outcomes in review decisions: Approve, Reject or Return. Approval moves the quote to Approved and makes it eligible for customer acceptance. Rejection moves it to Rejected. A Return sends the revision back to the Quote Specialist with the reason, so the lines or requirements can be corrected and priced again.
Every decision stores the source revision it was made against, the Reason, decided at, the Reviewer from team members and an operation key. The decision is refused when the reviewer is not independent of the quote, when the revision has moved on since the reviewer opened it, or when the quote is past valid until. Repeating the same decision request returns the original decision without writing a second one.
How the work is organized
- Independent reviewer. The Pricing Reviewer is a different person from the Quote Specialist who owns and priced the quote. Self-approval is refused.
- Decision bound to a revision. source revision ties each decision to what the reviewer actually saw. If a new revision is priced, it needs its own decision.
- Reasons are kept. Reason is required on every decision, including approvals, so an Auditor can read why a margin or discount was accepted.
What to agree during setup
Agree what a reviewer checks on every quote: the net line value against unit cost USD, the size of any discount USD, the price book revision used and whether the requirements on the quote have been approved. Agree when a reviewer should Return a quote for rework and when they should Reject it outright. Decide who covers review when the usual reviewer is the quote owner or is away, so independence holds without delaying customers. Agree the wording standard for Reason so decisions can be searched later.
Check the handoff on an actual case
Take a recent quote where the reviewer asked for a lower discount before approving. Price it as a Draft so it reaches Review. Have the Pricing Reviewer record a Return with the reason. Let the Quote Specialist reduce discount USD, price the next revision and send it back to Review. Have the reviewer approve the new revision. Then try to approve the earlier revision again and confirm the stale decision is refused.
Ask the Auditor to open the decision log for that quote. Both decisions should be there in order, each with its source revision, Reason and reviewer, and the quote should show only the approved revision as current.
What your team sees
- Quotes awaiting pricing review — quotes in Review with owner, revision, price book revision, net amount and validity date.
- Review decision log — every Approve, Reject and Return decision with its source revision, reviewer and reason.
- My review decisions — the signed-in reviewer’s own decisions with dates and reasons.
Follow the work through
- Pricing review to acceptance: Record an independent decision on the revision and capture the customer’s acceptance before the quote expires.
- Correction and reconciliation: Cancel or correct authorized scope and check what each operation receipt claims.
Check the roles before you assign reviewers.
