Ask Proto about your desk

Ask Proto about deals, commission waiting for a rate card, overdue brokerage and client trends.

It can

  • Broker: List deals still in negotiation or due for delivery this week, with expected commission on each.
  • Accounts' assistant: Summarise unbilled and overdue commission by client and list lines without a rate card.
  • Brokerage Owner: Compare commission by client and commodity with last month and show brokers against their monthly target.

Stays with a person

  • The Brokerage Owner activates rate cards.
  • Brokers move deals to Delivered, which invoices commission.
  • Clients confirm terms with the broker.
  • Proto prepares lists, drafts and explanations within the access of the person using it; it does not activate a rate card or deliver a deal on anyone's behalf.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Define ownership

Name the Brokerage Owner, brokers and accounts staff, set each broker’s monthly target and agree who may move a deal to Delivered.

  2. Load masters and rate cards

Load commodities, brokers and clients with credit days, then each client’s rate cards by side and commodity, activated by the Brokerage Owner.

  3. Rehearse the desk

Price a trade in the calculator, book it, move it through delivery, record payments and print the client statement.

  4. Prove the commission

Book a closed month already charged in the old program and compare every client’s commission; explain each difference.

  5. Go live

Book new deals in the system, import open commission and receipts, and start recording mandi prices for the trends.

FAQ

Questions, answered

Scope, rollout and pricing for Agro Commodity Brokerage.

All questions
How do I get started?

Click Get started, then use Proto to configure Agro Commodity Brokerage for your business. Start with your main clients' rate cards, the deals in progress and last month's commission from your current program to compare against.

Can each client pay a different brokerage?

Yes. Each client holds its own rate cards for the seller side, the buyer side or either side, optionally for one commodity. A card can combine a percentage of deal value, an amount per metric ton and a flat fee per deal, with a minimum per deal.

How is the right rate card chosen for a deal?

For each side, the system takes that client's cards that are not in Draft, are valid on the deal date and apply to that side. A card for the deal's commodity comes before the client-wide card, Active before Expired, then the latest start date. The line shows which kind of card it used.

What happens when a client renegotiates?

Enter the new terms as a new rate card with its own start date and put an end date on the old card. Deals keep the card that priced them, so earlier commission does not change.

What if a client has no rate card yet?

The line shows Not found and waits. When a card for that client is added or activated, those waiting lines are priced from it.

Can we change the commission on one deal?

Yes. Accounts can enter an adjustment on a line, for an agreed discount or extra charge. The final commission is the calculated commission plus the adjustment.

When is commission invoiced?

When the deal moves to Delivered. Its unbilled lines become invoiced that day, due after the client's credit days, or 30 days when none are recorded.

How do payments close a deal?

Accounts records each payment against its line. When a line is fully paid it becomes Paid, and when every line on a delivered deal is paid or waived the deal is settled.

What happens to commission when a deal is cancelled?

Lines not yet paid are waived. If the deal comes back, its waived lines return to unbilled.

What graphs and statistics are available?

Dashboards show brokerage booked and collected with the monthly trend by commodity category, the deal pipeline by stage, commission and effective rates by client, lead sources that convert and pay, commodity seasonality, brokers against target, deal rates against the mandi, and a ledger with receivables aging.
