Get help with the operating cycle

Use Proto to configure the operating cycle and help the team inspect work and evidence.

It can

  • Operations Manager: Find requested work at the selected site, show assigned people and due dates, and summarize exceptions needing follow-up.
  • Operations Officer: Open assigned work and help prepare a factual activity description with the recorded quantity and unit.
  • Operations Reviewer: Summarize the selected stream's evidence and the manifest's movement details before the authorized review decision.
  • Finance Officer: Bring together the partner charge and its work-order context for reconciliation with confirmed financial information.

Stays with a person

  • The assistant works within the signed-in person's permission scope.
  • It cannot turn a closed site into eligible work through a command or replace the acting operator's identity with a typed name.
  • Operations Manager remains responsible for authorization, and Operations Reviewer decides eligible evidence outcomes.
  • A repeated request must follow the operation's guarded repeat path.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the pilot work

Choose an active site, a representative material stream and the collection case to rehearse. Name Operations Manager, Operations Officer and Operations Reviewer for the operating cycle.

  2. Set up identities and records

Admin links people to their platform accounts. Operations Manager prepares sites and partners, then creates the requested work order with its assigned operator and due date.

  3. Rehearse authorized activity

Approve the work and record the actual field quantity and unit. Test the closed-site and invalid-identity cases, then repeat a command to check that the same activity is not recorded again.

  4. Review stream evidence

Capture the material definition under the selected order. Operations Reviewer assesses the submitted evidence. Rehearse a correction and confirm that the original submission remains traceable.

  5. Follow disposal and exceptions

Move the manifest through collection and transfer, then inspect genuine certificate evidence before certification. Resolve a related exception through its reasoned review and verified corrective work log.

All questions
How do I get started?

Click Get started, then use Proto to configure Waste Management / Scrap for your business. Begin with an active site, an assigned operator and a representative collection case. Rehearse authorization, stream review and disposal evidence with the people who will run the process.

What connects the field work to the disposal record?

The work order links to the site and assigned person. A waste stream belongs to that work order, and the disposal manifest belongs to the stream. Field logs and exceptions also refer to the original work order.

Who authorizes work to proceed?

Operations Manager approves eligible work. The execution action checks the active site, linked source and acting identity before recording the operation. A manual trigger follows the same authorization checks.

How is the operator identified?

The action resolves the signed-in platform account through its linked person record. The field log retains that person with the recorded activity, quantity and unit.

How should quantities be compared?

Keep each quantity's unit visible. Compare like units in field reports, and use the selected stream's unit when interpreting a manifest quantity. Do not add a container count to a mass measurement.

What happens when a stream description needs correction?

The capture process submits immutable evidence for Operations Reviewer. A correction appends successor evidence without overwriting the original submission, so the reviewer can follow what changed.

When is a disposal manifest certified?

The manifest follows the permitted Draft, Collected and Transferred path before certification is recorded. During setup, agree how Operations Reviewer checks the genuine certificate for the selected movement. Operations Officer retains the attachment and records the certified outcome through the permitted manifest action.

What if the certificate is still outstanding?

The stream capture process opens a pending-certificate exception until genuine evidence exists. Operations Manager follows the issue under the work order and uses the resolution path to verify the corrective effects before closing it.

What happens if a manifest submission is repeated?

Duplicate and replay requests follow separate reasoned branches without writing another effect. The team can inspect the response and the existing record instead of treating the repeat as a new movement.

How are partner charges handled?

Finance Officer prepares charges linked to the actual work order and partner, then reconciles confirmed financial information under the agreed process. Payment execution remains with the chosen financial system. Operations Manager and Operations Reviewer can read the charge alongside its operating evidence.
