What you can do
Make a vehicle commitment the next shift can understand
Property Manager reviews the requested trip before committing a bus or other ground resource. The decision brings the vehicle’s capacity together with the passenger count and planned operating window. A vehicle marked Available is a useful starting point, but the dispatcher also checks its commitments for the requested period.
Consider a bus finishing a terminal transfer while another group is waiting for collection. The decision depends on the end of the first commitment and the start of the next. The planned interval gives the dispatcher a shared basis for that review instead of relying on a verbal assurance that the bus will probably be free.
How the work is organized
- Fleet identity. Keep the vehicle number and type recognizable to the people making assignments. Capacity belongs to the selected resource. Property Manager checks these details before approving a movement, especially when a replacement bus is being used for a group that normally travels on another vehicle.
- Dispatch decision. Approve a Requested trip only after the current request, acting staff identity and vehicle commitment pass review. The dispatch action checks passenger capacity and competing trip intervals before recording Confirmed. A repeated submission must return the existing decision without reserving the same movement again.
- Readiness after use. Assigned means the resource is committed to work underway. Cleaning and Maintenance tell the planner that follow-up work affects readiness. At trip completion, Property Manager chooses Cleaning or Available according to the actual handoff, so the next movement starts from a meaningful fleet state.
What to agree during setup
Nominate the Property Manager who performs dispatch and establish the staff identity used for that decision. Agree how the team represents the planned start and end, including the local operating time zone. Identify who checks passenger capacity when a request changes. Rehearse how a resource returns from Cleaning or Maintenance before treating it as available for another commitment.
Check the handoff on an actual case
Use a bus with an agreed capacity and submit overlapping requests from separate planning sessions. The dispatcher should confirm only a commitment that fits the vehicle’s existing work. The rejected request stays available for correction or reassignment. Check an adjacent window that begins when the earlier window ends, using the same time convention.
Next, start the confirmed trip and inspect the vehicle’s Assigned state. Complete the trip with cleaning still required and confirm the planner sees Cleaning. A second shift should understand why that bus is awaiting attention without reconstructing the decision from personal messages. Include a repeated approval submission in the rehearsal and inspect the original result.
What your team sees
- Available fleet — Find resources ready for a dispatch review and compare their passenger capacity.
- Fleet readiness board — See which vehicles are assigned, awaiting cleaning or in maintenance.
- Trips awaiting dispatch — Review requested movements before making a vehicle commitment.
