What you can do

Review readiness for the unit being released

The Crew Lead prepares a readiness check for the ambulance unit linked to the transport. It records when the check took place, the available crew and whether equipment is marked OK or Deficient. Equipment notes explain what the Fleet Supervisor needs to consider before making the release decision.

The check has its own revision and status. A submitted check asks the Fleet Supervisor to review that specific evidence independently. The decision records the reviewed revision and its reason, while the release operation retains an outcome receipt. The transport’s progress remains a separate operating record.

How the work is organized

  • Identify the actual unit. The Crew Lead selects the vehicle record and intended transport, then confirms that they belong to the correct operating organization. Use the vehicle relationship as the reference when a historical free-text label differs.
  • Prepare current evidence. Enter the checked date, available crew and equipment condition. Explain any deficiency in the equipment notes so the reviewer can understand the recorded condition without relying on an unrecorded conversation.
  • Request independent release review. Submit the prepared revision to the Fleet Supervisor. The supervisor approves, rejects or requests correction with a reason, and the team inspects the recorded release outcome before treating the readiness work as complete.

What to agree during setup

Agree which evidence the Crew Lead must provide under the service’s operating procedure. Define who can prepare the check and who may independently decide it. The app records the crew availability and equipment condition; the responsible organization supplies the operational criteria for judging that evidence.

Establish what happens when a vehicle or crew changes after submission. The reviewer needs the current evidence for the unit actually being considered. Also agree how the Dispatcher learns the release outcome and how the Fleet Supervisor investigates a Pending or failed operation result. Keep the decision reason clear enough for the next shift to understand.

Check the handoff on an actual case

Use a planned transport with a named ambulance unit. The Crew Lead records the observed crew availability and equipment marked Deficient, with a note explaining the issue. The Fleet Supervisor reviews the submitted revision and records the decision required by the team’s operating procedure.

Have the Crew Lead correct the evidence during the rehearsal and submit the current revision for review. The Fleet Supervisor compares the new decision with the earlier one, retaining the history. After approval, the supervisor inspects the release receipt and confirms which readiness revision it describes before communicating the outcome to the Crew Lead and Dispatcher. The Dispatcher should be able to distinguish an approved readiness check from an assignment that has actually been dispatched or a transport that has been completed.

What your team sees

  • Draft Crew Checks — Readiness checks being prepared, with crew availability and equipment notes.
  • Unit Release Review — Submitted checks awaiting the Fleet Supervisor’s independent decision.
  • Readiness Decision History — Fleet Supervisor and Dispatcher inspect reasons and reviewer identities for each reviewed check revision.
