What you can do

Make the assignment visible before dispatch

The Dispatcher creates an assignment that names the transport, driver and vehicle. Its start and end dates show the interval the team is planning to use. Held, Confirmed, Dispatched, Completed and Cancelled describe the assignment’s progress independently from the transport’s own status.

Driver records provide active state, an eligibility date and external authority evidence. Vehicle records show the equipment class and current readiness. The Dispatcher reviews those records alongside the readiness decision so a familiar driver or unit name does not replace a current operating check.

How the work is organized

  • Hold the intended interval. Record the driver, ambulance unit and assignment dates while arranging the work. Review neighboring intervals for both driver and vehicle, including assignments that are still Held.
  • Confirm the supporting records. Check driver eligibility and vehicle readiness, then inspect the submitted crew check and its independent decision. The Fleet Supervisor resolves questions that the Dispatcher cannot settle from the recorded evidence.
  • Record actual dispatch. Update the assignment and transport when the operating team confirms dispatch. Keep their states aligned with the events each describes, and review both records when a transport changes or is canceled.

What to agree during setup

Agree who maintains driver eligibility and how the external authority reference is checked. Define how a dispatcher handles an eligibility date that has reached its review point. The record provides evidence for the team’s decision; it should not be treated as a live verification service supplied by an external authority.

Set an assignment-review routine that checks for overlapping intervals before confirmation. Decide how changes in expected end time are communicated to the next dispatcher. Agree the meaning of a Held assignment and the point at which the team changes it to Confirmed, without treating those states as a substitute for the separate unit-release decision.

Check the handoff on an actual case

Prepare a pilot transport and hold an interval for a driver and ambulance unit. Create another planned assignment with an overlapping interval for the same unit. Have the Dispatcher inspect the schedule and resolve the conflict through the team’s allocation procedure before confirming the intended assignment.

Next, review a driver whose eligibility date needs attention and a vehicle marked Maintenance. The Fleet Supervisor and Fleet Maintenance Tech should resolve the relevant records before the Dispatcher relies on them. Once the pilot assignment is suitable, record dispatch on both the assignment and transport. Confirm that canceling an unused assignment is handled separately from canceling the associated transport.

What your team sees

  • Assignment Schedule — Driver and unit allocations with their start, end and current assignment status.
  • Driver Eligibility Watch — Drivers whose eligibility dates need review against the external authority evidence.
  • Vehicle Readiness Board — Ambulance units grouped as Ready, Held or Maintenance.

Follow the work through

Use transport planning and dispatch for the allocation cycle and readiness and unit release for the independent release decision.
