What you can do
Keep the defect attached to the right unit
The Crew Lead or Fleet Maintenance Tech records a vehicle defect against the affected ambulance unit. The description and reported date establish what was observed, while Minor, Major and Critical provide the recorded severity. The Fleet Maintenance Tech follows the repair from Open through In Repair to Released.
The vehicle’s readiness is recorded separately as Ready, Held or Maintenance. Closing a defect and changing that readiness answer different operating questions. The team reviews the unit’s current condition and remaining open defects before deciding how its readiness should be maintained for dispatch planning.
How the work is organized
- Describe the observed problem. Link the defect to the vehicle and record a useful description. The Crew Lead should give the maintenance team enough context to identify the issue without turning the defect entry into an unrelated transport note.
- Follow repair progress. The Fleet Maintenance Tech changes the defect’s status as work progresses and records the repair evidence. Preserve the original report so the later release can be traced back to the observed issue.
- Review the unit’s readiness. Record the release date when the defect has been resolved under the team’s procedure. Update vehicle readiness deliberately and check any remaining open defects before the Dispatcher uses the unit in an assignment.
What to agree during setup
Agree the meaning of each severity value and the evidence required before a defect is marked Released. Identify who may change readiness and who communicates a change to the dispatch team. The operating organization owns these decisions and the maintenance standards behind them.
Decide how repair evidence is referenced in the defect record. Supporting files can be kept with a related transport where appropriate, while the defect itself retains its repair evidence text and vehicle relationship. Preserve the external fleet identifier when a separate maintenance system is the source of detailed workshop work.
Check the handoff on an actual case
Choose a pilot ambulance unit with a reported equipment problem. The Crew Lead records the defect and its observed severity. The Fleet Maintenance Tech reviews the description, marks the repair In Repair and updates the vehicle’s readiness under the agreed procedure so dispatch can see its current condition.
Record the repair evidence and release date once the issue is resolved. Before marking the vehicle Ready, inspect whether another open defect remains against the same unit. The rehearsal should make clear who maintains the vehicle state and who checks it when preparing the next assignment. A defect marked Released should remain available to explain why the unit was previously held or under maintenance.
What your team sees
- Open Vehicle Defects — Reported and in-progress defects with their severity, description and repair evidence.
- Vehicle Readiness Board — The current readiness recorded for each ambulance unit.
Follow the work through
Use defect repair and readiness before the next assignment and readiness and unit release for the transport-specific review.
