What you can do

Put the decision against the reviewed request

The Approver needs the request amount, route version and current step together before deciding. The decision chain keeps the outcome attached to the parent request. Each entry can carry its order, source reference and amount, giving the team a place to inspect what was recorded at that point in the approval process.

Use the assigned approval queue to select the work that needs your attention. Read the request and its supporting evidence before recording the decision. A person who prepared the business case may help answer a question, but the eligible Approver remains responsible for the decision at the selected step. Agree that responsibility explicitly during setup.

How the work is organized

  • Ordered work. Inspect the current step and route version before acting. The decision entry retains its sequence and step order so the coordinator can follow the path taken through the request.
  • Recorded outcome. Keep Pending, Accepted and Rejected decision outcomes distinct. A pending entry means the decision still needs attention; it cannot explain why a request was accepted.
  • Request completion. The decision-chain workflow writes the decision with operation and transition history, advances the step order and marks the request Approved with its completion time. Inspect these records together when checking the result.

What to agree during setup

Define how eligible approvers are selected and how the route’s decision sequence is completed. Rehearse the selected step before enabling real requests. Agree the handling of rejected decisions and the question that must return to the Request Owner. The reviewer should be able to explain both the business outcome and its effect on the request’s current state.

Decide how delegation expiry affects a person trying to act and who resolves an expired assignment. Confirm that the request revision has not changed since the evidence was reviewed. Keep administrative access separate from the authority to approve a request in the team’s permission design, and include ordinary accounts in the rehearsal.

Check the handoff on an actual case

A Request Owner asks for a replacement workstation and supplies a quotation. The assigned Approver opens the request, checks the current amount and confirms the policy context. Evidence Reviewer has verified the supporting document and recorded the relevant review outcome. The Approver can now decide the business request using that common context.

After acceptance, inspect the decision chain entry and the request completion time. Check the recorded state change. Ask Approval Coordinator to inspect the operation trace and explain the advanced step order and the route’s completion rule. The review should make clear which decision occurred and which request revision it concerned.

Then repeat the case with a changed request revision and with a person outside the eligible route. These rehearsals establish the decision boundary the team expects before real work begins. If the result is unclear, resolve the route or permission configuration before inviting the broader approval team. An uncertain decision needs an owner and a recorded explanation.

What your team sees

  • My assigned approvals — Inspect the amount, policy context and due date for your next decision.
  • Decision chain entries — Follow recorded outcomes in their request and step context.
  • Approval workboard — See the current spread of request states during the coordination review.

Follow the work through

Evidence to decision describes the approval handoff. Decision to execution review explains how to inspect the subsequent result.
