What you can do
Follow the result beyond the approval
An approved request records a business decision. Execution tracking lets the team inspect the operation that handled it and any separate attempts to carry out the resulting command. The operation key connects that investigation to the request, while the source revision identifies the version involved. Execution Operator uses this context when a result needs explanation.
Operation runs retain a state, input identity and result reference. Their numbered steps hold input and output references with any external receipt evidence. Execution attempts record their own state, attempt number and provider reference. Reviewing these records together helps the operator distinguish a completed local operation from a destination result that still needs confirmation.
How the work is organized
- Run context. Start with the request, operation key and source revision. Inspect the recorded result or failure reason before deciding what further action is needed.
- Step evidence. Follow the numbered steps and their input and output references. Where a step involves another system, inspect the external source, receipt identifier and attached receipt evidence together.
- Attempt outcomes. Keep Queued, Running, Succeeded, Failed and Unknown attempts distinct. A run requiring reconciliation needs investigation of the existing outcome before the team repeats work elsewhere.
What to agree during setup
Choose the downstream business action for the pilot and name the system that owns its final result. Set up that connection explicitly. Agree what a successful receipt looks like, how an attempt is matched to its operation and who investigates an uncertain response. Define the permission needed to inspect provider references and receipt attachments.
Agree how the operator resolves an Unknown attempt without assuming it failed. A timeout can leave the result uncertain. The rehearsal should include checking the existing provider reference before any repeat action. Use the input identity and request revision to make sure a later investigation still concerns the command that was actually approved.
Check the handoff on an actual case
An approved equipment request leads to a command in a connected purchasing system. The destination response is interrupted, leaving the attempt Unknown. Execution Operator opens the related run and checks the request revision, operation key and attempt reference. The next action is to investigate the existing destination result with the connection owner.
If a receipt is found, compare it with the expected action. During connection setup, agree how its receipt is saved against the relevant step; the operator then inspects that evidence. If the outcome remains uncertain, give the investigation a follow-up owner and due date. Keep the uncertainty visible until the evidence supports a result. The request can remain Approved while that separate execution question is unresolved.
Repeat with an operation that fails before a destination result is produced. Ask the operator to explain the failure reason and the intended recovery action. Ask Approval Coordinator to distinguish the business decision from the execution result. Both should reach the same account of what was approved, what ran and what still needs investigation.
What your team sees
- Execution reconciliation queue — Investigate failed runs and runs awaiting reconciliation.
- Operation step trace — Inspect the recorded action sequence and its receipt references.
- Uncertain execution attempts — Review failed or unknown attempts before planning recovery.
Follow the work through
Decision to execution review covers the operational handoff. Review systems to connect before enabling a destination action.
