What you can do
Keep permission to work separate from acceptance
A maintenance ticket identifies the asset and the Technician responsible for the work. Maintenance Planner records whether the ticket concerns Preventive, Corrective or Inspection work, with its description and dates. The ticket moves through Requested, Approved and Scheduled before execution, giving the team a visible distinction between a request and assigned work that may proceed.
Maintenance Approver authorizes work after the command checks the ticket, its asset and approved warranty coverage spanning today. Technician then records the work performed with its start and end dates. Inspection acceptance closes the ticket, retains a linked service certificate and returns the asset to service.
How the work is organized
- Authorization. Maintenance Approver checks the work request and current coverage eligibility. The authorized ticket advances to Approved and Scheduled with its Technician and due date, preserving the equipment reference used for the decision.
- Execution evidence. Technician starts the maintenance action, which flags the asset for maintenance and brings the ticket into progress. The work log records what was done and when, with the technician attached to that evidence.
- Inspection decision. Completed work moves to Inspection for review. Maintenance Approver accepts the outcome through the execution process before the ticket closes and the asset returns to Active.
What to agree during setup
Name the people who may authorize work and accept its inspection. Configure their command authority as part of the access setup. Agree what a useful work description contains and what the reviewer needs to examine before accepting the result, including any parts consumed during the job.
Choose how the team handles work that is not ready for acceptance. The reviewer should be able to stop the handoff and require the appropriate follow-up before the asset is returned to service. Also agree how cancellation is handled in the ticket lifecycle and verify the permitted source state before applying any maintenance command.
Check the handoff on an actual case
Prepare a corrective ticket for a compressor with a leaking fitting. Maintenance Planner selects the asset and assigned Technician, while Maintenance Approver checks the approved warranty record and its validity dates. Authorize and schedule the work with the agreed due date.
Technician starts the job, records the fitting replacement and logs the work dates. Post any consumed part through the parts action, then bring the ticket to Inspection. The Maintenance Approver checks the recorded work and accepts the outcome when it satisfies the operating review. Confirm that the ticket is Closed, the service certificate identifies the same ticket and asset, and the compressor is Active again.
Repeat the authorization attempt with expired coverage and confirm that it cannot proceed through the eligible path. Also rehearse a job awaiting acceptance: logging the work should not be mistaken for the reviewer’s decision. Each participant should be able to explain what remains outstanding from the ticket state.
