What you can do
Give every stock action a clear location
An automated storage request needs an unambiguous item and a location the team is allowed to use. Inventory Clerk maintains storage locations with a code, contact, address and eligibility note. The owning organization provides the operating context. A recognizable bin name is useful on the floor, but the request must still refer to the correct location record.
The item record carries its SKU, base unit and tracking mode, along with category, cost and reorder settings. None, Lot and Serial distinguish the tracking choices available to the team. Agree that choice before importing stock so the clerk can interpret a requested quantity and the supervisor can compare it with the lot and movement evidence.
How the work is organized
- Location eligibility. Keep the location’s active setting and eligibility note current. Check the organization behind both the requested location and the counterparty location before a request reaches review.
- Item identity. Use the SKU and base unit consistently across requests, handling units and lots. A request for cartons must not quietly become an instruction for individual units when the movement is posted.
- Membership context. App Administrator links team members to their organization and authenticated user. Inventory Clerk prepares work within that scope, while Inventory Supervisor reviews the operational decisions.
What to agree during setup
Decide how warehouses, bins, yards and cold rooms will be represented in the location list. Give each record a useful code and explain any eligibility condition in language the clerk can check. Agree who retires a location and how open work is reviewed before its active setting changes.
Choose the base unit and tracking mode for each item using an actual receiving example. Reorder point and safety stock are item settings; the supervisor also maintains allocation policies with their own safety-stock quantities. Agree how those settings inform the team’s decisions. Any conversion between item cost and a movement’s USD cost needs a defined policy before the team relies on cost comparisons.
Check the handoff on an actual case
Rehearse a carton of components arriving at an induction station. Inventory Clerk identifies the item and checks its base unit, then selects the eligible storage location under the correct organization. Inventory Supervisor should be able to read the request and explain exactly which stock and location it authorizes.
Repeat the preparation with an inactive location and with a location belonging to another organization. Resolve the eligibility or scope problem before executing the stock action. Ask the Auditor to trace an accepted movement back to the item and location without using a handwritten location nickname as the reference.
