Prepare clinic work with Proto

Prepare record reviews and clinic configuration with the responsible staff member.

It can

  • Clinical Coordinator: List unfinished encounters for the clinic session and identify care tasks due today with their assigned person.
  • Licensed Clinician: Find my draft clinical notes and the assessments still waiting for processing on their encounters.
  • Clinical Reviewer: Gather the notes, observations and herbal entries for an encounter awaiting review.
  • Clinical Governance Administrator: List privileges awaiting verification with their effective dates and supporting evidence.

Stays with a person

  • The practitioner makes clinical decisions, including the interpretation of assessments and authorization of herbal preparations.
  • Clinical Reviewer decides whether the encounter evidence supports completion.
  • Clinical Governance Administrator verifies professional eligibility.
  • Proto helps prepare information under the signed-in person's access and asks the responsible person to make the decision.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the operating cycle

Clinical Coordinator and Licensed Clinician choose the consultation types used in the pilot. Clinical Reviewer defines the evidence needed before deciding an encounter outcome. Confirm who maintains consent purposes and document versions.

  2. Prepare staff and patient records

Admin establishes account access. Clinical Governance Administrator checks the staff identities, professional privilege evidence and care-team assignments. Clinical Coordinator reconciles patient numbers before importing encounters.

  3. Rehearse clinical recording

Use a practice patient to complete intake, consent and an encounter note. Record an observation with its unit, process an assessment and enter a herbal dispensation from a sample package label. Include a rejected assessment and an amended note.

  4. Rehearse decisions and follow-up

Clinical Reviewer requests clarification on an encounter before approving its outcome. Clinical Coordinator records completion and assigns continuing care. Check that the receiving clinician can identify the task and its due date.

  5. Review the financial handoff

Clinical Coordinator prepares and approves an encounter charge. Admin checks payment entry from the agreed source. Rehearse the invoicing connection and confirm which system supplies settlement matching.

All questions
How do I get started?

Click Get started, then use Proto to configure Ayurveda / Alternative Medicine for your business. Pilot a representative consultation with consent, an attributed note and a follow-up task. Add an assessment and herbal dispensation so the clinical team can rehearse the review handoff.

How do returning patients keep their visit history?

Clinical Coordinator identifies the established patient record and opens a new encounter for the visit. Notes, observations and specialty records attach to that encounter, while the patient number helps staff recognize the person returning.

How is consent recorded?

Each consent records its purpose, document version and signature details. Staff distinguish Pending, Signed, Withdrawn and Expired agreements and review the one relevant to the planned work.

Who signs the clinical account?

Licensed Clinician records the note under its author and signs it when ready. Clinical Reviewer reads the encounter evidence and decides whether the outcome can be approved. Clinical Coordinator records the encounter's completed state after that decision.

How do we track an assessment?

Record the assessment type and accession number against the encounter. Update its processing state as it moves through collection and receipt, then record Tested or Rejected as appropriate. The practitioner interprets the clinical information in the encounter documentation.

What details belong in a herbal dispensation?

Record the preparation name, batch number and quantity with its unit, then identify the authorizing practitioner and encounter. Copy the batch from the material label and check the unit before saving the entry.

How do we review quantities by batch?

Group entries with the same preparation, batch and unit. Inspect the individual encounter references when investigating an unexpected total. Set up a connection to the dispensary's inventory system for stock reconciliation.

How does follow-up work after a visit ends?

Care tasks have their own responsible person, due date and state. Clinical Coordinator and Licensed Clinician review unfinished work after encounter completion, then record Completed, Escalated or Cancelled according to what happened.

How do payments relate to billing?

Service charges belong to encounters, while payment entries belong to patients. Clinical Coordinator reviews charge amounts and reads payment activity. Set up the financial connection for invoice issue and settlement matching, and confirm payment states from the agreed source.

What should we prepare before migration?

Bring the patient register, staff account links, consent documents and professional privilege evidence. Include encounter identifiers for clinical records and the original source references for financial activity. Follow the migration order and rehearse the imports with the operating owners.
