What you can do
Review the authority behind the care record
A staff member’s presence in the center directory is the starting point for assigning work. Clinical Governance Administrator maintains the professional privilege record that describes the type of authority, license details, issuing authority and verification evidence. Effective dates and status give the administrator a concrete basis for reviewing whether that privilege is current for the intended work.
Care team assignments answer a related question: which clinician is associated with a patient for a stated purpose and period? Keep that assignment separate from the professional privilege record. A clinician may have a verified privilege while their assignment to a particular patient’s care has ended. Review both parts when preparing a handoff or changing who will work with the patient.
How the work is organized
- Professional verification. Clinical Governance Administrator reviews the license number, issuing authority and evidence before changing a Pending privilege to Verified. The privilege type distinguishes documentation, prescribing, review and study investigator responsibilities. Use the type relevant to the actual responsibility being assigned.
- Effective periods. Record the start and end of the privilege period and distinguish Verified, Suspended and Expired. Agree who reviews approaching end dates and how a suspension is communicated to the operating team. Keep the recorded state aligned with the administrator’s documented decision.
- Patient assignments. Maintain the patient, clinician, access purpose and effective period on each care team assignment. Active identifies a current assignment; Ended records that the assignment has finished. Changes in staffing should prompt a review of these assignments before another clinician takes over the work.
What to agree during setup
Provide the staff directory and the evidence used to verify each relevant professional privilege. Agree which person acts as Clinical Governance Administrator and who supplies replacement evidence when an effective period ends. Decide how the center records a suspension or an ended assignment and how that change reaches the people coordinating upcoming visits.
Map each staff member to their own application identity. The name on a record needs to resolve to the person using the application. Review access to verification attachments and patient records with ordinary role accounts. Configure the access policy around the center’s assignment rules, then test it through both routine screens and direct record access before releasing the configuration.
Check the handoff on an actual case
Use a fictional clinician with a Pending Document privilege and an assignment beginning next week. Clinical Governance Administrator checks the license evidence, confirms the effective period and approves the privilege as Verified. The team then reviews a visit scheduled during that period. Repeat the rehearsal with the assignment marked Ended and with the privilege marked Suspended. Each case should prompt the correct staffing and access decision before the coordinator continues the handoff.
