What you can do
Close the order with an explainable balance
The customer may have received their order while Finance Officer is still checking a receipt. Keep the financial review explicit. Payments carry an amount, received date and source reference against the order. Pending, Confirmed and Refunded stay distinct so the team can explain which money is available for the completion decision.
Operations Reviewer decides whether the approved items reconcile with confirmed payments or whether an explicit outstanding account has been acknowledged. The order can then follow its permitted completion action. Equipment moves to Cleaning as part of that handoff and needs a passed inspection before it returns to Available.
How the work is organized
- Identify the receipt. Finance Officer checks the order link, payment number and source reference. A record marked Pending remains outside the confirmed-money comparison while the actual payment evidence is being resolved.
- Review the obligation. Compare approved order items with confirmed receipts and reconcile any counter charges that share the same source. Operations Reviewer reviews the result and the explicit acknowledgment when an outstanding account is carried forward.
- Complete and hand over. The authorized completion action marks the order Completed and sends its equipment to Cleaning. Front Desk Agent or Property Manager follows the related task, while Operations Reviewer handles the later inspection decision.
What to agree during setup
Agree who supplies authoritative payment confirmation and how Finance Officer checks the reference. A payment provider or bank connection must have an agreed mapping and reconciliation procedure. A customer’s message that they have paid may help locate a receipt, but the final status needs the payment source.
Define what the reviewer needs before acknowledging an outstanding account. The team should know who follows up and where the decision evidence is retained. Rehearse an order with a pending payment so staff can see the difference between carrying an acknowledged obligation and changing an unconfirmed receipt to make the balance appear settled.
Check the handoff on an actual case
A bakery order is ready for completion, but the payment provider has not yet confirmed the customer’s transfer. Finance Officer leaves the receipt Pending and shows the approved charges to Operations Reviewer. The reviewer either waits for the confirmation or handles an explicit outstanding-account acknowledgment under the agreed operating procedure.
After the authorized completion action, inspect the payment again. It must still reflect the actual source outcome; completing the order must not turn Pending into Confirmed. Check the equipment as well. It should be in Cleaning until the inspection passes, even though the customer-facing order is complete.
Finally, rehearse a failed cleaning inspection. Front Desk Agent follows up on the required work, and Operations Reviewer keeps the equipment from returning to Available until the pass is recorded. The next shift should be able to distinguish the completed customer commitment from the equipment’s remaining preparation work.
What your team sees
- Payments awaiting confirmation — Pending receipts with references for Finance Officer to investigate.
- Confirmed receipts — Source-confirmed money linked to customer orders.
